Kirkland Event & Destination Services is seeking an experienced, detail-oriented Bookkeeper to join our growing team. This full-time position is responsible for managing the day-to-day Accounts Payable and Accounts Receivable functions while supporting the overall financial operations of the company. The ideal candidate is highly organized, thrives in a fast-paced environment, and has strong bookkeeping experience with exceptional attention to detail. This role plays a vital part in maintaining accurate financial records, ensuring timely vendor payments, customer billing, and supporting month-end accounting processes.
Accounts Payable
- Process vendor invoices accurately and in a timely manner.
- Match invoices to approved proposals, contracts, purchase orders, and event documentation.
- Verify pricing, services rendered, and event dates before processing payments.
- Prepare and process payments via check, ACH, wire transfer, and company credit cards.
- Maintain organized vendor files and payment records.
- Communicate with vendors regarding payment status, discrepancies, and required documentation.
- Reconcile vendor statements and resolve outstanding issues.
- Ensure all invoices receive proper approvals prior to payment.
Accounts Receivable
- Generate and distribute customer invoices accurately and on schedule.
- Apply customer payments and maintain accurate customer account records.
- Monitor outstanding receivables and follow up on overdue balances.
- Communicate professionally with clients regarding payment inquiries.
- Reconcile customer accounts and resolve billing discrepancies.
- Assist with maintaining accurate aging reports and collections.
Bookkeeping & Accounting Support
- Maintain accurate financial records in QuickBooks.
- Perform daily, weekly, and monthly bank and credit card reconciliations.
- Assist with month-end and year-end closing procedures.
- Maintain organized electronic and physical financial records.
- Track and reconcile event expenses and labor costs.
- Prepare reports and documentation for management as requested.
- Assist with budgeting and financial reporting support.
- Identify discrepancies and proactively resolve accounting issues.
- Support continuous improvement of accounting procedures and internal controls.
- Perform other accounting and administrative duties as assigned.
Qualifications
- 5+ years of bookkeeping experience with strong Accounts Payable and Accounts Receivable responsibilities.
- Proficiency in QuickBooks.
- Strong Microsoft Excel skills.
- Excellent attention to detail and accuracy.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and professionalism.
- Self-motivated with the ability to work independently while contributing to a collaborative team.
Preferred Qualifications
- Experience in the hospitality, destination management, tourism, transportation, or event industry.
- Experience with high-volume invoice processing.
- Knowledge of job costing or event-based accounting.
- Experience with month-end close and financial reporting support.
Work Schedule
- Full-Time
- Monday – Friday, 8:30PM-5:00PM
- In-office position based in Lake Worth, Florida
- Additional hours may occasionally be required during peak event periods or month-end close.
