About Dar al Islam
Dar al Islam (DAI) is a nonprofit organization based in the sweeping landscape of Abiquiu, New Mexico, that aims to be the preeminent land-based institution facilitating inclusive Islamic learning and spiritual contemplation, deeply rooted in this land, for Muslims and the broader community. DAI currently achieves this purpose by hosting retreat programming and partnerships in a historic complex that has played a significant role in the lives of Muslims in North America. DAI also intends to develop and deliver programs on the campus in the future.
DAI ensures that its activities are in keeping with the well-established principles and teachings of Islam, drawing on historically rooted Islamic legal methodologies and including Sunni (Sufi and non-Sufi) and Shia (Sufi and non-Sufi) traditions and practices.
Position Summary
The Office Manager / Bookkeeper / Board Administrative Support is a multifaceted role that serves as the organizational backbone of Dar al Islam's administrative, financial, and governance functions. This individual ensures the smooth day-to-day operation of the office, maintains accurate and timely financial records, and provides high-level support to the Board of Directors and the Director of Operations. The ideal candidate is exceptionally organized, detail-oriented, discreet with confidential information, and energized by working in a mission-driven environment deeply rooted in Islamic values.
Key ResponsibilitiesOffice Management & Administration
- Manage the day-to-day administrative operations of the DAI office, including correspondence, filing systems, and office supplies
- Serve as the primary point of contact for internal and external stakeholders, routing inquiries appropriately
- Maintain and organize organizational records, contracts, agreements, and compliance documents
- Oversee office equipment, technology, and vendor relationships related to administrative functions
- Coordinate scheduling, travel arrangements, and logistics for leadership and key meetings
- Support staff onboarding administration, including document collection, HR file maintenance, and orientation coordination
- Manage postage, shipping, and document handling for organizational needs
- Ensure the office environment is professional, organized, and operationally efficient
Bookkeeping & Financial Administration
- Maintain accurate, up-to-date financial records using accounting software (e.g., QuickBooks, Sage, or similar)
- Process accounts payable and accounts receivable, including invoice review, check preparation, and payment tracking
- Reconcile bank and credit card statements on a monthly basis
- Prepare and submit payroll in coordination with HR and external payroll processors
- Track grants, restricted funds, and donations in accordance with nonprofit accounting standards
- Assist in the preparation of monthly, quarterly, and annual financial reports for leadership and the Board
- Support the annual audit process by preparing documentation and coordinating with external auditors
- Monitor budgets and flag variances to the Director of Operations
- Ensure compliance with nonprofit financial regulations, including IRS reporting requirements (e.g., Form 990 preparation support)
- Maintain organized financial files and records in accordance with document retention policies
Board of Directors Administrative Support
- Coordinate all logistics for Board meetings, including scheduling, venue/virtual setup, agenda preparation, and material distribution
- Record, prepare, and distribute accurate minutes for Board and committee meetings in a timely manner
- Maintain the Board portal and ensure all governance documents (bylaws, policies, resolutions, meeting records) are current and accessible
- Track Board member terms, committee assignments, and required disclosures
- Liaise with Board members professionally and confidentially on behalf of the Director of Operations and Executive Leadership
- Support annual Board compliance requirements including conflict-of-interest disclosures, orientation materials, and term renewals
- Assist with Board recruitment logistics, including scheduling candidate meetings and preparing orientation packets
- Maintain a calendar of Board governance deadlines and proactively remind leadership of upcoming requirements
Compliance & Reporting
- Ensure organizational compliance with federal, state, and local nonprofit requirements, including annual registrations and filings
- Support preparation of grant reports and funder compliance documentation in partnership with program staff
- Maintain insurance records and coordinate renewals with appropriate vendors
- Assist in the implementation and maintenance of organizational policies and procedures
QualificationsRequired
- Minimum of 3–5 years of experience in office management, bookkeeping, or administrative support roles
- Proficiency in accounting software (QuickBooks preferred) and Microsoft Office / Google Workspace
- Demonstrated experience with nonprofit bookkeeping, including fund accounting and grant tracking
- Strong organizational skills with meticulous attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines in a dynamic environment
- High level of discretion and professionalism in handling confidential information
- Ability to work independently with minimal supervision as well as collaboratively with a small team
Preferred
- Experience supporting nonprofit boards of directors, including meeting coordination and minute-taking
- Familiarity with IRS Form 990 and nonprofit audit preparation
- Associate's or Bachelor's degree in accounting, business administration, or a related field
- Experience working with or within Muslim American organizations or faith-based nonprofits
- Familiarity with grant management and restricted fund tracking
- Experience with HR administration and payroll processing
Work Environment & Physical Requirements
This position is based on-site at Dar al Islam's campus in Abiquiu, New Mexico. The campus is situated in a rural, high-desert environment and reflects DAI's commitment to grounded, land-based Islamic learning. The successful candidate will be comfortable working in a setting that integrates organizational rigor with spiritual mission. Standard office conditions apply; occasional evening or weekend availability may be required to support Board meetings or special events.
