Executive Assistant – The Office Superhero We’ve Been Looking For!About the Role

We’re looking for a dynamic, organized, and proactive Executive Assistant to help keep our team running smoothly. In this role, you’ll support senior leadership, keep daily operations on track, and help create a productive and positive office environment. No cape required—just great organizational skills, a can-do attitude, and a knack for keeping things under control when everyone else is looking for their coffee.
What You'll Be Doing
- Keep executive calendars organized and running like a well-oiled machine.
- Schedule meetings, appointments, and occasional “How is it already Friday?” moments.
- Answer incoming calls with professionalism, warmth, and excellent phone etiquette.
- Manage emails, correspondence, and documents with accuracy and attention to detail.
- Proofread materials and handle data entry without letting sneaky typos get away.
- Maintain organized physical and digital filing systems (because finding things should not be a treasure hunt).
- Help manage office operations, including ordering supplies and coordinating materials for community health fairs.
- Assist with bookkeeping tasks, invoicing, and expense tracking.
- Support customer service efforts and help answer client, patient, or customer inquiries.
- Coordinate travel arrangements, prepare reports, and assist with special projects.
- Keep priorities organized, deadlines on track, and the office moving forward.
What We're Looking For
- Experience in an administrative, clerical, or office support role.
- Previous experience as a personal assistant, medical receptionist, or dental receptionist is a plus.
- Strong skills in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs).
- Experience with data entry, filing systems, and multi-line phone systems.
- Bilingual skills are a bonus and highly appreciated.
- Exceptional organizational skills and attention to detail.
- Ability to juggle multiple tasks without juggling actual objects.
- Fast and accurate typing skills with strong proofreading abilities.
- Knowledge of office management and customer service best practices.
- Excellent time management and communication skills.
- Experience with QuickBooks is a plus.
- Familiarity with medical or dental office environments is helpful but not required.
