Job Summary
Proper HOA Management is seeking an experienced, client-focused Senior Association Accountant to support the financial management of homeowner and condominium associations while serving as a trusted accounting resource for Boards of Directors, Community Managers, and Finance Committees.
This role combines technical accounting expertise with exceptional customer service and communication skills. The Senior Association Accountant will be responsible for monthly financial statement preparation and review, account reconciliations, audit support, association transitions, and direct interaction with clients regarding financial matters.
The ideal candidate possesses excellent GAAP knowledge, strong organizational skills, and the ability to confidently explain financial information to non-accounting audiences while managing multiple communities and priorities.
Responsibilities
- Association Accounting & Financial Reporting
- Prepare, review, and analyze monthly financial statements for assigned associations.
- Oversee the accounting team to ensure timely reporting.
Client & Board Relations
- Serve as the primary accounting contact for assigned associations.
- Respond to accounting-related inquiries from Board members and Community Managers.
- Participate in Board meetings as needed/requested to answer questions.
- Communicate financial information clearly and professionally to volunteer Board members.
- Build strong relationships with association leadership and finance committees.
- Provide exceptional customer service while maintaining financial integrity and compliance.
Budgeting & Financial Planning
- Assist with preparation of annual operating budgets, as needed.
- Support Communities with investment setup options, if requested.
- Assist in preparation of special assessment calculations and financial analysis, if requested.
Audit, Tax & Compliance Support
- Assist with preparation for annual audits, reviews, and compilations.
- Coordinate & provide required documentation requests from external auditors.
- Support preparation and filing of IRS Form 1099s.
- Assist with tax-related documentation and CPA coordination.
- Ensure compliance with company accounting policies and industry best practices.
Community Transitions
- Assist with onboarding newly acquired communities.
- Review financial records received from prior management companies.
- Verify opening balances and account accuracy.
- Coordinate bank account transitions and financial system setup.
- Assist with offboarding communities transitioning to new management.
- Identify and resolve financial discrepancies during transition periods.
Team Collaboration & Process Improvement
- Provide guidance and support to junior accounting team members.
- Assist with quality control reviews and internal audits.
- Collaborate closely with Community Managers and operational teams.
- Recommend process improvements to increase efficiency and accuracy.
- Assist with implementation and optimization of accounting technology platforms.
- Support special projects and company initiatives as assigned.
- Perform and review monthly reconciliations for:
- Operating bank accounts
- Reserve accounts
- Investment accounts
- Loan accounts
- Ensure all financial reporting is accurate, timely, and compliant with GAAP.
- Review general ledger activity and investigate variances or unusual transactions.
- Assist with monthly and year-end close processes.
- Monitor association cash flow and reserve fund activity.
- Maintain accurate financial records and supporting documentation.
Qualifications
- Bachelor's Degree in Accounting, Finance, or related field.
Preferred
- HOA, condominium, community association, property management, non-profit or real estate accounting experience.
- Experience with AppFolio or similar property management software.
- Experience presenting financial information to Boards of Directors.
- CPA candidate or CPA designation.
- Experience supporting audits and tax preparation processes.
- Multi-entity accounting experience.

- Minimum 5-7 years of accounting experience.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
