Office Manager plays a crucial role in ensuring the efficient functioning of an organization by overseeing various administrative tasks and managing office resources. The Office Manager position is pivotal for maintaining a productive and organized workplace, enabling other staff members to perform their roles effectively. The Office Manager coordinates office activities and operations to secure efficiency and compliance with company policies, manages office supplies, schedules meetings and appointments, and provides general administrative support to employees.
1. Position Responsibilities
As Office Manager, the Employee is required to perform the following duties and undertake the following responsibilities in a professional manner.
2. Training and Onboarding
Office manager is to provide training for onboarding staff and contractors.
Office manager is to train, provide oversight to record keeping and documentation, and authorization teams.
3. Office Manager Duties
The Office Manager will write both Pikesville and Maryland Avenue offices logics in accordance to the policies and procedures
Maintain and manage efficient and effective operations of office (s), field and clinical staff.
The Office Manager will establish work priorities and ensure deadlines are met by supervisees.
Ensure on-time financial records and on-budget completion of tasks.
Maintaining accurate and comprehensive electronic filing of all documents. Along with organizing intuitively in support of the function of the agency.
Office Manager is to attend agency community events created to educate, empower, build healthy relationships with families and expand the brand of Steps 2Wards Success throughout the community.
Administrative Management/ Communication
Schedule and coordinate meetings, appointments, and events for manager.
Draft correspondence such as email, mass text, letters, and edit, answers phone and email and takes messages and proofreading documents.
Attend meetings as required and take comprehensive notes at all meetings.
Draft and facilitate a communication strategy, schedule, outcomes and discipline structure.
Support and Coordination
Act as the point of contact for internal and external partners, participants and staff. Ensure Policies and Procedures and followed to fidelity.
Liaise with executive and senior management and clinical teams in support of the rehabilitation counselor and community. Attend and lead ongoing staff meetings in support of achieving the agency’s mission and vision in accordance with all laws and regulations of COMAR, CARF Regulations, and Carelon Behavioral Health Services.
Records Documentation/ Compliance Support
The Office Manager will manage, train and provide oversight for the Record Keeping and Compliance team.
The Office Manager will lead S2WS’ efforts to maintain accurate and comprehensive electronic and hard copy filing participant, staff and other files. Along with organizing functionality structures that lend agency towards efficient and effective management of its resources.
The Office Manager will provide oversight to the review of contact notes, approve contact notes and other legally required client records will be completed with the understanding that all information submitted to the Employee is accurate.
The Office Manager will support in aligning effective and efficient communication between DC’s and clinical team in efforts to ensure the outcomes derived are achieved in alignment with the mission and vision of Steps 2Wards Success.
The Office Manager will conduct weekly and monthly file audits to support the agency with being in compliance COMAR, CARF, HIPPA regulations, and Carelon Behavioral Health Services.
Support in aligning communication between Rehabilitation Specialist team and Rehabilitation Counselor in efforts to ensure health of each participant in consideration of the holistic approach designed by Steps 2Wards Success.
