Job Overview
We are seeking a professional and organized Front Desk & Aviation Customer Service Coordinator to join our aviation landing gear repair station.
This position combines front desk/reception responsibilities with aviation customer service and repair order coordination. The successful candidate will serve as the first point of contact for customers and visitors while also supporting customer communication, repair quotations, Repair Orders (ROs), and coordination throughout the repair process.
The ideal candidate will have previous customer service experience, preferably within an FAA Part 145 Repair Station, aviation MRO, or related aviation environment. A background in purchasing, repair order management, or aviation ERP/MRO systems is a plus.
This role requires excellent communication and organizational skills, attention to detail, professionalism, and the ability to work effectively with customers and multiple internal departments.
Responsibilities
Front Desk & Reception
Greet customers, visitors, vendors, and other guests in a friendly and professional manner.
Answer, screen, and direct incoming phone calls.
Monitor and respond to general emails and customer inquiries.
Maintain a professional and organized front desk and reception area.
Assist with general administrative and office duties as needed.
Receive and direct visitors to the appropriate department or team member.
Aviation Customer Service & Repair Coordination
Serve as a primary point of contact for customers, ensuring timely and professional responses to inquiries and service requests.
Prepare and provide accurate repair quotations based on customer requirements, work scopes, and repair findings.
Create, manage, and track Repair Orders (ROs) from initiation through completion.
Provide customers with repair status, quotation, and order updates throughout the repair process.
Maintain accurate records of customer communications, quotations, repair status, service agreements, and related documentation.
Coordinate closely with Maintenance, Quality Control, Supply Chain/Purchasing, and Accounting to support the timely completion of customer orders.
Utilize Evolve or similar ERP/MRO software for repair order management, tracking, reporting, and record-keeping.
Use Microsoft Office, including Excel, Word, and Outlook, for customer communication, data entry, reporting, and documentation.
Support billing and invoicing processes by verifying completed work and coordinating required information with Accounting.
Assist with customer account management, service follow-ups, and contract renewals as needed.
Help resolve customer concerns while maintaining a high level of professionalism and customer satisfaction.
Qualifications & Requirements
Minimum 2 years of customer service experience, preferably within an MRO, FAA Part 145 Repair Station, or aviation-related environment.
Professional demeanor and strong front desk/customer service skills.
Experience working with repair orders, work scopes, quotations, or aviation-related documentation preferred.
Proficiency in Microsoft Office, including Word, Excel, and Outlook; strong Excel skills preferred.
Experience with ERP/MRO software is preferred but not required.
Ability to read and understand repair orders, work scopes, and aviation-related documentation.
Fluent English required; bilingual English/Spanish preferred.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities in a fast-paced environment.
Strong attention to detail and follow-through.
Ability to work collaboratively with multiple departments.
Strong problem-solving skills and a customer-focused mindset.
Dependable, punctual, and professional.
Preferred Qualifications
Previous experience in an FAA Part 145 Repair Station.
Experience in aviation component repair, landing gear MRO, or a related aviation environment.
Experience with Evolve, Quantum, Corridor, or similar aviation ERP/MRO systems.
Customer service experience combined with a purchasing or supply chain background.
Familiarity with FAA repair station requirements and aviation component documentation and tracking.
