JOB SUMMARY
The Administrative Specialist will collaborate with team members across AH departments to improve efficiency of existing services and enhance the AH customer experience. They will manage routine and advanced duties for other professionals, manage calendars to schedule appointments, sort mail, organize files, create correspondence, help prepare documents, and offer general office support. The Specialist will serve as an initial point of contact for members, answering phones, and greeting visitors. They will support event planning, meeting setup/preparation, meeting minutes, and implementation. The position may provide opportunities to improve communications, current processes, and develop tools that compliment AH services. Strong communications skills and independent decision-making are paramount for success in this position.
ESSENTIAL FUNCTIONS
The roles and responsibilities of this job support the culture, mission, vision, and values of our organization. To perform this job successfully, an individual must be able to perform administrative and clerical duties for management by performing the following duties.
Duties and Responsibilities
1. Promptly answer telephone calls, greet visitors, and sort incoming mail, referring to the appropriate person(s); support outreach to members and practice staff as assigned.
2. Maintain calendars and schedule appointments with staff and external partners.
3. Attend meetings for the purpose of taking and transcribing minutes in an accurate, professional, and timely manner.
4. Provides clerical assistance to the Network Engagement department through review of membership files.
5. Draft, edit, and distribute documents including letters, memos, and standard reports; prepare communications and enclosures accurately for mailing or electronic distribution.
6. Order office supplies and provide operational support for equipment and office needs.
7. Event planning and meeting organization; ensure meeting locations, catering/food, and technology needs are scheduled/reserved.
8. Provides operational assistance and instruction to team as needed.

1. Ability to work autonomously, with solid time management, priority setting, and organizational skills.
2. Ability to apply common sense understanding to conduct assigned tasks with minimal input. Ability to solve problems and make independent decisions in routine situations.
3. Excellent written, verbal communication, and interpersonal skills.
4. Ability to read and interpret documents. Ability to write routine reports and correspondence.
5. Ability to speak effectively before small groups of customers or employees is preferred.
6. Ability to organize and determine which tasks are priority.
7. Ability to develop positive, longitudinal relationships with practice managers, clinicians, and work colleagues.
8. Ability to listen to others and maintain strict levels of confidentiality.
9. Competency in using various computer hardware and software systems (e.g., Microsoft Office)
10. Ability to function effectively in a fluid, dynamic, and rapidly changing environment.
Physical Effort: The job includes limited physical demands, typical of the job, which include regular walking, standing, stooping, bending, sitting, typing, using the phone, and lifting light objects.
Mental & Visual Fatigue: Work may produce mental/visual fatigue. Detailed, interactive work requiring alertness and concentration for sustained periods, operation and complete attention to a computer.

Required Qualifications:
1. High school diploma or
2. Two years of related administrative support experience
3. Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
4. Hands on experience with CRM software platforms (Salesforce preferred)
Preferred Qualifications:
1. Bachelor's degree
2. Two to four years of related administrative support experience
3. Previous experience working with a health care organization, Physician Organization, Physician-Hospital Organization, or Independent Practice Association.

Job Type: Full-time
Pay: $20.00 - $22.00 per hour
