Job Summary
The Community Free Clinic is seeking a dedicated and detail-oriented Bilingual Healthcare Receptionist to join our team. The ideal candidate is fluent in both English and Spanish and is passionate about providing exceptional customer service to a diverse patient population. This role is essential to ensuring smooth communication between patients and staff while maintaining efficient front desk and administrative operations.

Responsibilities
- Greet patients and visitors warmly, creating a welcoming and professional environment.
- Answer and direct phone calls with professionalism and excellent phone etiquette.
- Schedule, confirm, reschedule, and manage patient appointments efficiently.
- Manage the clinic appointment calendar and assist with waitlists when appropriate.
- Register new patients and update existing patient demographic information in the electronic medical record (EMR) system.
- Check patients into the EMR schedule and update demographic and HealthNet information as needed.
- Collect patient information and maintain accurate records in compliance with HIPAA regulations.
- Scan, upload, and maintain patient documents, including identification, insurance information, and required forms.
- Assist patients with completing registration paperwork and required clinic forms.
- Review documentation to ensure all required forms, consents, and supporting documents have been completed.
- Manage all aspects of new patient appointment paperwork and ensure newly enrolled patients are scheduled for their first appointment.
- Prepare patient charts and print daily schedules.
- Provide verbal interpretation between English-speaking staff and Spanish-speaking patients as needed.
- Assist with translating routine patient communications and forms when appropriate.
- Utilize basic medical and dental terminology to communicate effectively with patients regarding appointments, treatment plans, and clinic services.
- Perform general administrative duties, including filing, data entry, correspondence, and record maintenance.
- Continuously monitor and supervise office flow to ensure minimal patient wait times.
- Demonstrate compassion, professionalism, cultural sensitivity, and respect while serving a diverse patient population.
- Maintain patient confidentiality and comply with all HIPAA and clinic privacy policies.
Requirements
- Fluency in both English and Spanish is required.
- High school diploma or equivalent required.
- Previous healthcare, medical office, dental office, or receptionist experience preferred.
- Experience with electronic medical record (EMR) systems preferred.
- Experience working with underserved, uninsured, or culturally diverse populations preferred.
- Strong customer service skills and ability to interact effectively with individuals from diverse backgrounds.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple responsibilities simultaneously while maintaining a professional demeanor.
- Familiarity with documentation review processes related to patient care plans.
- Proficiency in basic computer applications, including Microsoft Office and data entry systems.
- Ability to learn and navigate clinic software and electronic health record systems.
- Ability to maintain confidentiality and comply with HIPAA regulations at all times.
- Ability to sit, stand, walk, and move throughout the clinic during the workday.
- Ability to occasionally lift and carry up to 20 pounds.
Hours
- 30 hours per week, Monday–Thursday during regular clinic hours
- Second Wednesday of each month until 9:00 PM
Pay
$16.00–$19.00 per hour
- Starting candidates with little or no healthcare reception experience may qualify at the lower end of the range.
- Candidates with relevant healthcare reception experience, EMR proficiency, and strong bilingual communication skills may qualify at the upper end of the range.
