Responsibilities
- Greet visitors warmly and direct them appropriately, maintaining a professional and approachable demeanor at all times
- Manage multi-line phone systems efficiently, answering inquiries promptly and routing calls accurately using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and confidentiality
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading for clarity and correctness
- Support office management tasks such as calendar management, appointment scheduling, insurance verification and referrals
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Athena EMR
- Assist with clerical duties including photocopying, faxing, filing, and updating databases with meticulous attention to detail
Experience
- Proven office experience or administrative support background in a professional setting
- Strong customer service skills with a friendly yet professional approach to client interactions
- Familiarity with multi-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Demonstrated proficiency with computer literacy including Microsoft Office applications, EMR, data entry, proofreading, and filing systems
- Experience in medical receptionist roles is a plus but not required; relevant personal assistant or office management experience is valued
- Excellent organizational skills with the ability to prioritize tasks efficiently while managing time effectively
