Position Overview
We are seeking a warm, reliable, and organized Front Reception / Office Assistant to join our small behavioral health agency. As the first point of contact for our clinic, you will set the tone for our clients' care by providing a compassionate, peaceful front-desk environment. You will also play a key role in keeping our day-to-day office running smoothly by supporting our administrative tasks and clinical staff.

Key Responsibilities
1. Reception & Client Care
- Warm Welcome: Greet clients warmly upon arrival, handle check-in/check-out, and maintain a clean, calm, and welcoming waiting room.
- Phones & Inquiries: Answer incoming calls, check clinic voicemails, and respond to general email inquiries.
- Appointment Support: Assist with scheduling appointments, sending reminders, and handling cancellations or reschedule requests.
2. Intake & Administrative Support
- Client Onboarding: Assist new clients with completing intake paperwork, consent forms, and insurance documentation prior to their appointments.
- Records Support: File and maintain digital client charts in accordance with strict HIPAA confidentiality guidelines.
3. Office Maintenance & Operations
- Keep office inventory stocked by monitoring and ordering basic supplies.
- Sort mail, organize common areas, and assist clinical staff with light administrative tasks (e.g., printing, scanning, or filing).
Qualifications & Skills
Required:
- Customer Service: Excellent interpersonal skills with an empathetic, non-judgmental, and calm phone and face-to-face demeanor.
- Basic Tech Skills: Familiarity with basic computer software (Microsoft Office or Google Workspace) and the ability to learn our Electronic Health Records (EHR) system.
- Reliability: Strong punctuality and organizational skills with great attention to detail.
- Confidentiality: Understanding of (or willingness to learn) HIPAA regulations regarding private client health information.
Preferred:
- Prior experience working in a front desk, medical office, or customer-facing role.
Schedule & Compensation
- Job Type: Part-Time (30 hours per week)
- Schedule: 9:00 AM - 5:00 PM (Monday, Tuesday, Thursday, Friday; Wednesdays off)
- Pay Rate: $12.00 $15.00 per hour (commensurate with experience)
