Position Summary
Innovative Medical Solutions is seeking a highly organized and detail-oriented Medical Scheduler specializing in Personal Injury (PI) cases to coordinate patient appointments, manage treatment schedules, and facilitate communication between patients, attorneys, medical providers, and insurance representatives. The ideal candidate will have experience in personal injury case management, medical scheduling, authorizations, and healthcare administration.
This position plays a critical role in ensuring injured patients receive timely care while maintaining accurate documentation and supporting efficient clinic operations.
Essential Duties and Responsibilities
Patient Scheduling & Coordination
- Schedule new and follow-up appointments for personal injury patients.
- Coordinate consultations, diagnostic testing, procedures, therapy appointments, and specialist referrals.
- Maintain provider schedules and optimize appointment utilization.
- Confirm appointments and follow up with patients regarding missed or canceled visits. Communicate 24-hour cancellations or no-shows to the billing department.
- Ensure timely scheduling based on treatment plans and physician recommendations and email correspondence to the firm.
Personal Injury Case Management Support
- Verify attorney representation and maintain accurate attorney information.
- Obtain and update Letters of Protection (LOPs), claim information, and case documentation.
- Track treatment status and ensure continuity of care throughout the claim process.
- Communicate professionally with attorneys, case managers, insurance adjusters, and referral sources.
- Monitor treatment frequency and ensure compliance with provider recommendations.
Insurance & Documentation
- Verify insurance coverage and personal injury claim information when applicable.
- Collect and update demographic, accident, and claim-related documentation.
- Maintain accurate records within the Electronic Medical Record (EMR) system.
- Assist with obtaining medical records requests and supporting documentation as directed.
Qualifications
Required
- High school diploma or equivalent.
- Minimum of 2 years of medical scheduling or personal injury experience.
- Minimum of 1 year of personal injury case experience preferred.
- Knowledge of medical terminology.
- Proficiency in EMR systems, Microsoft Office, and scheduling software.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to maintain strict confidentiality
Preferred
- Experience in orthopedic, pain management, neurology, chiropractic, physical therapy, or surgical practices.
- Familiarity with personal injury billing and treatment workflows.
- Bilingual English/Spanish.
Compensation: $25-$30 per hour depending on experience plus benefits.
Pay: $25.00 - $30.00 per hour
