Administrative & Accounting Coordinator

Position Summary
ON-SITE POSITION
Newport Network Solutions, Inc. (NNS) is a leading provider of telecommunications, security, fire alarm, and technology infrastructure solutions throughout Wisconsin. We are seeking a highly organized and detail-oriented Administrative & Accounting Coordinator to support the day-to-day administrative and accounting functions of our growing organization.
This position serves as a critical resource for accounting support, payroll administration, employee onboarding, insurance administration, office management, and general administrative functions. The ideal candidate is professional, dependable, customer-focused, and capable of managing multiple priorities in a fast-paced environment.
Key ResponsibilitiesAccounting & Financial Administration
- Process accounts payable invoices and maintain vendor records.
- Generate customer invoices and assist with accounts receivable activities.
- Reconcile company credit card statements and vendor accounts.
- Assist with monthly financial reporting and accounting reconciliations.
- Maintain accurate accounting records and supporting documentation.
- Support budgeting and financial tracking efforts.
- Coordinate with external accounting professionals as needed.
- Maintain confidentiality of all financial information.
Administrative Support
- Answer and direct incoming phone calls.
- Manage incoming and outgoing mail and company correspondence.
- Maintain company filing systems and records, both electronic and physical.
- Coordinate office supplies, equipment, and administrative vendors.
- Assist with preparation of company documents, forms, and reports.
- Support scheduling of meetings, training sessions, and company events.
- Assist leadership with special projects and administrative initiatives.
Human Resources Administration
- Coordinate employee onboarding and offboarding documentation.
- Maintain employee personnel files and records.
- Assist with payroll administration and employee timekeeping records.
- Support employee benefits administration and enrollment activities.
- Assist with workers' compensation, unemployment claims, and related documentation.
- Maintain confidentiality regarding employee information.
Insurance & Compliance Administration
- Process and coordinate customer certificate of insurance requests.
- Maintain insurance policies, renewal schedules, and related documentation.
- Assist with vehicle registrations, licensing, permits, and compliance records.
- Coordinate insurance claims and documentation as needed.
- Support company compliance initiatives and recordkeeping requirements.
Customer & Vendor Support
- Serve as a professional point of contact for customers, vendors, and business partners.
- Assist with customer inquiries and administrative requests.
- Support vendor account setup and maintenance.
- Maintain positive working relationships with suppliers and service providers.
QualificationsEducation & Experience
- Associate degree in Business Administration, Accounting, Finance, or related field preferred.
- Minimum of three (3) years of administrative, accounting, bookkeeping, or office administration experience.
- Experience in the construction, technology, telecommunications, security, or service industries is preferred.

Physical Requirements
- Ability to sit and work at a computer for extended periods.
- Ability to occasionally lift and carry up to 25 pounds.
