West Memphis Dental Group is seeking a Treatment Coordinator to join our team in West Memphis, AR. This role is ideal for an experienced dental front office professional who enjoys helping patients understand their treatment options, coordinating care, and creating a welcoming experience from the moment patients walk through the door.

The Treatment Coordinator serves as a key liaison between patients, providers, and the front office team, ensuring patients clearly understand their recommended treatment, insurance benefits, and financial responsibilities. This role plays an important part in supporting treatment acceptance and helping patients move forward confidently with their care.
While reporting directly to the Office Manager and working closely with both the clinical and administrative teams, this individual will coordinate scheduling, insurance verification, financial discussions, and follow-up care to ensure a smooth and supportive patient experience from diagnosis through completion of treatment.

Key Responsibilities
Patient Experience & Front Office Support
- Greet patients and ensure they feel welcomed when they arrive
- Check patients in for appointments and assist with necessary paperwork or updates
- Answer incoming calls promptly and professionally
- Route calls and messages accurately to the appropriate team members
- Maintain a clean, organized, and patient-friendly reception area
- Communicate patient needs, concerns, or scheduling updates to the clinical team
Treatment Coordination & Financial Communication
- Review and explain treatment plans, procedures, and timelines with patients
- Explain dental insurance benefits and estimated patient responsibility
- Ensure patients understand financial expectations prior to treatment
- Collect copays, deductibles, and out-of-pocket costs when applicable
- Coordinate treatment scheduling to support provider productivity and patient needs
- Follow up with patients regarding pending or unscheduled treatment
Insurance & Administration Support
- Verify dental insurance benefits prior to appointments
- Accurately enter insurance information and documentation in the practice management system
- Upload insurance cards, EOBs, and supporting documentation to patient records
- Assist with insurance claim follow-up and documentation as needed
- Support accurate patient account maintenance and insurance tracking
Scheduling & Workflow Coordination
- Schedule new and existing patients while optimizing provider schedules
- Confirm appointments and manage cancellations or rescheduling
- Assist with recall and reactivation efforts for overdue patients
- Monitor daily schedule flow and proactively flag gaps or delays
- Work with the team to ensure the schedule runs smoothly and efficiently
Qualifications
Minimum Qualifications
- High school diploma or equivalent
- Experience in a dental front office
- Strong understanding of dental insurance verification and EOB interpretation
- Excellent customer service and communication skills
- Ability to multitask while maintaining accuracy and professionalism
- Computer proficiency and comfort using practice management software
- Ability to maintain patient confidentiality and comply with HIPAA
- Knowledge of dental terminology and insurance workflows
Preferred Qualifications
- Dental assistant/clinical experience
- Experience with the practice management software Open Dental
Schedule
Full-Time | 30+ hours per week
