HVAC Warehouse Receiving & Inventory CoordinatorOverview
Cartwright Heat & Air is seeking a dependable, organized, and motivated Warehouse Receiving & Inventory Coordinator to join our team. This position plays a vital role in keeping our warehouse and field operations running efficiently by ensuring equipment and materials are received accurately, organized properly, and available when our service technicians and installation crews need them.
The ideal candidate is detail-oriented, enjoys staying organized, communicates well with others, and takes pride in maintaining an efficient warehouse. This position requires working closely with our office staff, service department, installation department, vendors, and suppliers to ensure materials are available and jobs stay on schedule.
Primary Responsibilities
- Receive and check in incoming equipment, parts, materials, and supply orders.
- Compare deliveries against purchase orders and packing slips to verify accuracy.
- Inspect incoming shipments for damage, shortages, or discrepancies and report any issues promptly.
- Verify model numbers, quantities, and equipment specifications before accepting deliveries.
- Monitor the status of outstanding and backordered items and communicate updates as needed.
- Notify the service and installation departments when equipment and materials have arrived.
- Organize, label, and stage equipment and materials for upcoming service calls and installation projects.
- Maintain an organized warehouse with clearly identified inventory and job materials.
- Maintain accurate inventory counts of commonly used parts, equipment, and warehouse supplies.
- Monitor stock levels and reorder approved inventory when quantities become low.
- Assist with loading and unloading vendor deliveries, company vehicles, and installation trucks.
- Pick up equipment, parts, materials, and supplies from local vendors and suppliers as needed.
- Deliver equipment, materials, and job orders to service technicians, installation crews, and job sites in a timely manner.
- Verify that all materials being picked up or delivered are accurate and complete before leaving the warehouse or supplier.
- Keep the warehouse, receiving area, and storage areas clean, organized, and safe.
- Operate forklifts, pallet jacks, carts, and other warehouse equipment safely when trained and authorized.
- Assist with other warehouse, shop, and inventory-related duties as assigned.
Qualifications
- Previous warehouse, receiving, inventory, HVAC, construction, or logistics experience is preferred but not required.
- Strong organizational skills and attention to detail.
- Ability to accurately verify equipment, materials, and inventory.
- Basic computer and data entry skills.
- Ability to learn inventory and purchasing software.
- Good communication skills and the ability to work well with multiple departments.
- Basic math skills for counting and verifying inventory.
- Ability to work independently while also being a team player.
- Forklift experience or certification is a plus but not required.
- Valid driver's license with a clean driving record.
Physical Requirements
- Ability to lift, carry, push, and pull equipment and materials weighing up to 50 pounds independently and heavier items with assistance or equipment.
- Ability to stand, walk, bend, kneel, and reach throughout the workday.
- Ability to work in warehouse conditions, including heat, cold, dust, and noise.
- Ability to safely load and unload HVAC equipment and materials.
