Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our bustling office environment. Duties
- Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with excellent phone etiquette
- Operate multi-line phone systems efficiently to ensure seamless communication within the office and with external contacts
- Oversee calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office
- Maintain accurate data entry, filing systems, and record keeping to support administrative functions
- Coordinate office supplies procurement, inventory management, and equipment maintenance to ensure operational readiness
- Provide exceptional customer service by supporting clients, vendors, and staff with professionalism and responsiveness
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and manage invoices
- Support clerical duties such as proofreading documents, managing correspondence, and performing general administrative tasks
- Facilitate office management activities including organizing files, managing office protocols, and ensuring compliance with company policies
- Serve as a personal assistant for executives or team members as needed to optimize their productivity
Experience
- Proven experience in office management or administrative roles with a strong background in clerical work and customer service
- Familiarity with QuickBooks accounting software and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience handling multi-line phone systems and managing front desk operations effectively
- Bilingual abilities are highly desirable to support diverse client and staff interactions
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Demonstrated competence in data entry, filing systems, calendar management, and proofreading documents
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Excellent time management skills coupled with attention to detail to ensure accuracy in all responsibilities
