Client Delivery Specialist (Private Wealth Legal Assistant)
Location: St. Louis, MO (Onsite 4 Days Per Week)
Compensation: $65,000–$75,000 DOE
Our client, a nationally recognized Am Law firm, is seeking a Client Delivery Specialist (Private Wealth Legal Assistant) to join its Private Wealth practice in St. Louis.
This is an excellent opportunity for a motivated legal assistant who enjoys supporting attorneys in a collaborative, fast-paced environment. The successful candidate will play an integral role in managing workflow, coordinating with clients and internal teams, and providing exceptional legal administrative support within a sophisticated Private Wealth practice.
The ideal candidate is proactive, highly organized, detail-oriented, and committed to delivering outstanding client service while managing multiple priorities with professionalism and discretion.
Key Responsibilities
Attorney & Workflow Management
- Manage the full lifecycle of workflow for assigned attorneys.
- Anticipate attorney needs, manage priorities, and resolve administrative challenges with minimal supervision.
- Coordinate and track ongoing projects to ensure deadlines and deliverables are met.
- Monitor milestones, communicate project status, and assist with planning and resource coordination.
- Utilize workflow management software to organize and manage daily assignments.
- Handle special projects and other responsibilities that support the efficiency and success of the practice.
New Business Intake & Matter Management
- Prepare and process new matter forms.
- Coordinate conflict checks and open new client matters.
- Manage new client intake and engagement documentation.
- Maintain accurate client and matter records throughout the engagement process.
Billing & Financial Coordination
- Assist attorneys with time entry, billing, collections, and client billing inquiries.
- Support the tracking of matter budgets and alternative fee arrangements.
- Partner with billing and accounting teams to ensure timely and accurate financial processes.
Client Service & Administrative Support
- Serve as a professional point of contact for attorneys, clients, and internal departments.
- Coordinate client communications while maintaining the highest level of confidentiality.
- Proactively manage attorney inboxes, prioritizing urgent communications and organizing correspondence.
- Maintain attorney contacts, CLE requirements, and other administrative records.
- Coordinate calendars, meetings, travel arrangements, and itineraries.
- Process incoming and outgoing mail and coordinate courier or messenger services when needed.
- Maintain professionalism and composure while managing competing priorities in a fast-paced environment.
Document Management
- Prepare, edit, revise, format, proofread, and distribute legal documents, correspondence, and presentations with exceptional accuracy.
- Maintain document organization, version control, secure electronic filing, and matter records.
- Ensure all work product meets firm quality standards and deadlines.
Technology & Process Improvement
- Utilize Microsoft Office Suite and legal technology platforms to efficiently manage work.
- Leverage workflow management tools, automation, and AI technologies to improve organization and productivity.
- Participate in ongoing technology and AI training.
- Identify opportunities to improve administrative processes and enhance client service.
Qualifications
- Bachelor's degree preferred or an equivalent combination of education and professional experience.
- 3+ years of legal assistant experience required.
- Experience supporting attorneys in a law firm or professional services environment.
- Private Wealth, Trust & Estate, Estate Planning, Fiduciary Administration, or related legal practice experience is strongly preferred.
- Advanced proficiency with Microsoft Office Suite.
- Strong organizational, communication, and time management skills.
- Demonstrated ability to proactively identify issues, recommend solutions, and manage work independently.
- Ability to handle highly confidential information with discretion and professionalism.
- Strong attention to detail with the ability to manage multiple priorities and deadlines.
