Job Overview
We are seeking a dynamic and compassionate Orthodontic Treatment Coordinator to join our vibrant dental team. Duties
- Act as the welcoming face of the orthodontic practice, providing exceptional patient service from initial consultation through ongoing treatment.
- Explain treatment options, procedures, and financial arrangements clearly and confidently to patients and their families.
- Coordinate appointments, follow-up visits, and treatment schedules using electronic medical record (EMR) systems such as Eaglesoft or Dentrix.
- Assist in collecting patient medical histories, updating records in compliance with HIPAA regulations, and ensuring accurate documentation of all interactions.
- Collaborate with the clinical team to prepare patients for procedures involving X-ray imaging, 3D scanners, or other medical imaging tools.
- Manage insurance verifications, pre-authorizations, and coding using medical documentation standards to facilitate smooth billing processes.
- Support infection control protocols and aseptic techniques during chairside assisting and four-handed dentistry procedures.
- Maintain detailed records of vital signs, medical history, and dental terminology relevant to pediatric dentistry and general dentistry cases.
- Facilitate communication between patients, parents (in pediatrics), and providers to promote understanding of treatment plans including prosthodontics or endodontics when applicable.
- Ensure compliance with all HIPAA guidelines while managing medical records and electronic health information securely.
Skills
- Proficiency in EMR systems such as Eaglesoft, Dentrix, and Open Dental for scheduling, documentation, and billing purposes.
- Strong knowledge of dental terminology, anatomy, infection control practices, and aseptic techniques essential for a dental clinic environment.
- Experience with pediatric dentistry procedures including vital signs monitoring and pediatric-specific communication strategies.
- Familiarity with medical coding standards relevant to dental procedures and treatments involving medical documentation.
- Ability to operate dental imaging equipment such as X-ray machines and 3D scanners confidently.
- Excellent communication skills to explain complex treatment options clearly to patients of all ages.
- Knowledge of dental assisting procedures including chairside assisting, four-handed dentistry techniques, and maintaining a sterile environment.
- Understanding of HIPAA regulations related to medical records management and patient confidentiality.
- Experience working within general dentistry or specialized fields like prosthodontics or endodontics is highly desirable.
