Minimum Qualifications:

Three or more years of progressively responsible administrative, executive support, or operations experience, or an equivalent combination of education and experience.

Excellent organizational and project management skills.

Exceptional written and verbal communication skills.

Proficiency with Microsoft Office Suite, Google Workspace, and office technology.

The Administrative Coordinator is a key member of the Presidio YMCA team, providing administrative and operational support to the Branch Executive, branch leadership, and the overall administration of the branch. This role serves as the organizational backbone of the branch, helping ensure daily operations run efficiently while supporting programs, fundraising efforts, community partnerships, and member engagement.
This position is ideal for an organized, proactive professional who is passionate about community impact and interested in building a career in nonprofit leadership, fundraising, or social service. In addition to providing executive and administrative support, the Administrative Coordinator will have meaningful opportunities to contribute to donor stewardship, community outreach, member experience, and branch initiatives that strengthen the communities we serve.
The Presidio YMCA is recognized for its commitment to youth development, healthy living, and social responsibility, as well as its leadership in outdoor education and bicycle education. While this position is primarily administrative in nature, the successful candidate will play an important supporting role in advancing these mission-driven programs and the broader work of the YMCA.
Essential Responsibilities
Executive & Leadership Support

Provide comprehensive administrative support to the Branch Executive and branch leadership team.

Manage calendars, meetings, schedules, and administrative priorities.

Prepare agendas, reports, presentations, correspondence, and meeting minutes.

Coordinate travel, registrations, and meeting logistics.

Maintain confidentiality while handling sensitive organizational information.

Assist with special projects and strategic initiatives as assigned.

Branch Administration & Operations

Serve as the primary administrative resource for the branch office.

Develop, maintain, and improve administrative systems and organizational processes.

Produce, organize, and track invoices and other financial documentation.

Assist with purchasing, expense reporting, and vendor coordination.

Support facility rental administration, including inquiries, scheduling, contracts, and coordination with internal teams.

Maintain organized electronic and physical filing systems.

Support branch safety initiatives, compliance requirements, and operational documentation.

Help ensure branch operations remain organized, efficient, and responsive.
Member Engagement & Community Experience

Support exceptional member and guest experiences through responsive communication and outstanding customer service.

Assist with member outreach, engagement, and retention initiatives.

Help coordinate branch events, volunteer opportunities, and community activities.

Serve as a welcoming and knowledgeable point of contact for members, community partners, and visitors.

Fundraising, Donor Relations & Community Partnerships

Provide administrative support for fundraising campaigns and development initiatives.

Assist with donor management, stewardship activities, acknowledgments, and database maintenance.

Support major donor outreach and relationship-building efforts.

Help coordinate donor communications, appreciation events, and recognition activities.

Assist in maintaining strong relationships with community organizations, corporate partners, schools, and local stakeholders.

Support partnership communications and collaborative initiatives that advance the YMCA's mission.
Project & Organizational Support

Coordinate multiple projects simultaneously while meeting deadlines.

Track project milestones and follow through on assigned initiatives.

Create, revise, document, and implement administrative systems that improve efficiency and consistency.

Support cross-department collaboration to ensure successful execution of branch priorities.

Provide administrative support for branch meetings, trainings, recognition events, and community programs.

The Administrative Coordinator position offers a competitive salary of $31.00 per hour based on experience and qualifications. Compensation is in accordance with program budget requirements.
