Kinship House is a regional non-profit outpatient mental health provider addressing the mental health needs of the most vulnerable children in our local child welfare system.

Salary: $23.00 - $25.00 per hour, commensurate with skill and experience
Schedule: 32 hours per week, Monday through Friday; exact schedule to be discussed.
Status: Non-exempt

Position Overview:
The Operations Coordinator supports Kinship House's efforts to ensure high-functioning daily operations and a strong, supported team. This position serves the organization's mission by coordinating day-to-day operations, including facilities, workplace technology, vendor relationships, inventory management, and operational projects.
Under the direction of the Director of Finance & Operations, the Operations Coordinator helps maintain a safe, organized, and functional work environment, ensuring staff have the resources and operational support needed to effectively serve children and families. This role works collaboratively with the administrative team while maintaining professionalism, confidentiality, and compliance with HIPAA regulations.

Duties/Responsibilities:
Facility and Maintenance Coordination
- Coordinate routine and preventative facility maintenance, serving as a primary point of contact for facility-related requests and vendors and tracking work through completion
- Conduct regular walkthroughs to help ensure clinical and shared spaces are safe, clean, organized, and fully operational
- Gather vendor quotes and coordinate small operational projects, including office moves and workspace improvements
- Track maintenance records, equipment service schedules, and facility-related needs
- Support workplace safety activities, including safety meetings, documentation, action-item tracking, and resolution of facility-related safety concerns
- Maintain office and operational inventory and coordinate purchasing and replenishment of supplies
- Assist with the coordination and distribution of in-kind donations
Technology Coordination
- Coordinate the purchasing, inventory, assignment, tracking, and lifecycle management of organizational technology equipment
- Serve as a primary point of contact for staff technology requests and coordinate with external IT vendors through resolution
- Coordinate technology onboarding and offboarding, including laptops, mobile devices, online accounts, and other approved systems
- Help keep technology equipment and peripherals organized and accessible
Other Operations Support
- Provide backup support for front desk operations during lunch breaks, staff absences, periods of increased workload, and as needed
- Coordinate operational logistics for internal and external events, including facility preparation, equipment, supplies, and setup/tear-down
- Other duties as assigned
Required Skills/Abilities:
- Demonstrated ability to manage several diverse tasks at the same time and meet deadlines
- Ability to anticipate operational needs and proactively identify solutions
- Excellent organizational and time management skills, with strong attention to detail
- Strong problem-solving and decision-making skills with the ability to determine when to escalate issues
- Excellent verbal and written communication skills
- Ability to build and maintain positive working relationships with clients, coworkers, clinicians, and external partners
- Ability to work independently and as part of a team
- Ability to manage confidential information with professionalism, discretion, and appropriate boundaries
- Strong computer skills and experience working with Windows and Google Suite programs
- Experience coordinating vendors and external service providers

Education and Experience:
- Associate's degree in Business Administration, Operations Management, Office Administration, or a related field, or an equivalent combination of education and experience
- Two years related work experience working in a clinical setting and/or in a social service agency preferred
Physical Requirements:
This role requires the ability to move throughout office locations, set up meeting and event spaces, and occasionally lift and move office supplies, equipment, and donations weighing up to 40 pounds. These and other essential functions of the position must be performed with or without reasonable accommodation.
