Job Title: Operations Coordinator
Job Summary: The Operations Coordinator is a key member of the museum's Operations Team and serves as one of the primary points of contact for guests, volunteers, and frontline staff. This highly interactive, customer-focused position is responsible for ensuring an exceptional visitor experience while supporting the day-to-day operations of the museum.
The Operations Coordinator supervises and supports museum facilitators and volunteers, assists with guest relations, coordinates volunteer activities, and provides administrative support for museum operations. Working closely with the Operations Manger, this role helps maintain a welcoming, organized, and engaging environment for all visitors.
This is not an entry-level position. Candidates should have prior experience in customer service, hospitality, retail, office administration, or a similar professional setting, along with strong communication and leadership skills. While museum-specific experience is not required, on-the-job training will be provided.

Essential Duties:
- Office & Administration
- Answer emails & phone calls
- Call & email existing & potential customers
- Take payments for pre-booked events
- Assist with booking museum programs
- Record survey data
- Put away supplies in their appropriate place
- Maintain organization systems
- Assist with animal & plant care when necessary
- Help maintain updated website & museum signage
- Send museum promotional/informative emails & posts
- Assist with hiring & onboarding new staff
- Have a working knowledge of the museum POS system
- Assist with updating reports & invoices
- Assist with gathering patron information
- Assist with purchasing, vendors, and banking
- Drive the company vehicle for office related tasks
- Supervisor Duties
- Assign & oversee volunteer & intern tasks
- Record volunteer & intern hours & send certificates
- Volunteer & intern interviewing, onboarding & system management
- Assist with facilitator staff training & supervision
- Front Desk
- Assist the Front of House Coordinator if necessary
- Make sales & cash handling
- Tours potential guests
- Assist with bringing in group booking
- Exhibits Halls/Stage/Classrooms
- Assist with exhibit & space cleanliness
- Let the appropriate person know if something is broken or needs to be replaced
- Organize storage spaces
- Other responsibilities as assigned
Skills/Qualifications:
- Experience in guest services
- Experience working in an office environment
- Interested in learning more about non-profits and/or museums
- Comfortable with children, animals, and noisy environments
- Knowledge of Microsoft Word, Excel, Publisher, PowerPoint, Google Calendar, and Sharepoint
- Comfortable around computers, machines, tools, crafting, and animals including reptiles and insects
- Ability to be active for long periods of time
- Willing and able to alter their schedule when necessary
- Ability to reliably show up to work on time
- Bi- or Multi-lingual is a plus (English required, Spanish, ASL, Vietnamese, Hindi, Urdu, Farsi, or Mandarin preferred)

Status: Part-Time, 20hrs (more hours available seasonally)
Reports to: Operations Manager
Work Schedule: Wednesday – Saturday
Location: On-Site
Compensation: Base of $16/hr, Flexible Schedule, Bonus Pay (Additional compensation available to correlate with experience)
