We're seeking a highly organized and proactive Fleet & Equipment Coordinator to join our growing team and help oversee the daily coordination of our trucks, trailers, and construction equipment. This position plays a critical role in ensuring our fleet remains safe, compliant, cost-effective, and ready to support field operations across the Greater Richmond region.
The Fleet & Equipment Coordinator will work closely with the Shop Foreman, Operations, Project Managers, vendors, dealerships, and equipment rental partners to coordinate preventative maintenance, repairs, inspections, budgets, and equipment utilization. The ideal candidate has strong organizational skills, mechanical aptitude, and experience managing fleet maintenance, equipment records, vendor relationships, and operational costs in a fast-paced construction environment.
Key Responsibilities
- Assist with the day-to-day management and coordination of the truck shop and fleet maintenance operations
- Coordinate preventative maintenance schedules and verify required services are completed on trucks, trailers, and construction equipment
- Order parts, track deliveries, and maintain inventory needed to support shop operations
- Coordinate repairs, warranty work, and service appointments with dealerships, vendors, and outside repair facilities
- Monitor equipment utilization, operating hours, idle time, maintenance history, and operating costs to support informed decision-making
- Prepare and maintain equipment summaries, cost reports, utilization reports, and fleet performance metrics
- Assist in developing and managing the annual fleet, equipment, truck, and trailer budgets while monitoring expenditures throughout the year
- Compare annual operating budgets and expenditures with established company budget forecasts and provide recommendations as needed
- Obtain quotes for equipment purchases, rentals, repairs, and replacement components
- Coordinate equipment rentals and assist operations with equipment availability and deployment
- Schedule and coordinate all required state, DOT, and regulatory inspections for company trucks, trailers, and applicable equipment
- Process vendor invoices, maintenance records, warranties, repair documentation, and other fleet-related administrative records
- Maintain accurate equipment files, maintenance histories, inspection records, registrations, and documentation
- Work collaboratively with Operations, Project Managers, Shop personnel, and field teams to prioritize repairs and minimize equipment downtime
- Assist with equipment replacement planning, lifecycle management, and long-term fleet strategy
- Support continuous improvement initiatives that increase equipment reliability, reduce operating costs, and improve shop efficiency
- Ensure compliance with company safety standards, DOT regulations, preventative maintenance programs, and applicable state and federal requirements
Required Qualifications
- Minimum of 3-5 years of experience in fleet management, equipment coordination, shop administration, construction operations, or a related field
- Knowledge of heavy-duty trucks, trailers, heavy equipment, preventative maintenance, and repair processes
- Understanding of equipment lifecycle management, maintenance scheduling, budgeting, and vendor coordination
- Strong organizational, planning, and time management skills
- Excellent written and verbal communication abilities
- Ability to prioritize multiple projects in a fast-paced construction environment
- Experience coordinating with vendors, dealerships, rental companies, and outside service providers
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook
- Strong analytical skills with the ability to interpret maintenance reports, utilization data, and operating costs
- Valid Virginia driver's license with an acceptable driving record
Preferred Qualifications
- Experience working in heavy civil construction, utility construction, or commercial construction environments
- Familiarity with DOT regulations, fleet compliance requirements, and preventative maintenance programs
- Experience with fleet management, maintenance tracking, accounting, or equipment management software
- Knowledge of budgeting, forecasting, equipment replacement planning, and cost control
- Mechanical background or experience supporting heavy equipment and diesel truck operations
Physical Requirements
- Ability to work in both an office environment and active shop and construction settings
- Ability to frequently walk through shop areas and active work environments
- Ability to occasionally inspect trucks, trailers, and construction equipment
- Ability to work outdoors in varying weather conditions as needed
- Ability to consistently wear required personal protective equipment (PPE) while in shop and field environments
- Ability to occasionally lift up to 50 pounds
