Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
We are seeking a highly organized and proactive administrative professional to support engineering leadership and executive stakeholders within a dynamic, fast-paced team environment. This hybrid role is central to maintaining smooth day-to-day business operations, encompassing administrative support, budget and expense management, travel coordination, event planning, and cross-functional collaboration. The ideal candidate thrives under pressure, manages competing priorities with ease, and brings a strong service-oriented mindset to everything they do.
Job Responsibilities:
Manage complex calendars and schedules for executive stakeholders and engineering leadership
Coordinate domestic and international travel arrangements and process associated business expenses
Track and manage team budgets, morale budgets, and expense reporting with accuracy and timeliness
Plan, coordinate, and execute team events, celebrations, and morale initiatives
Support hardware coordination and procurement of office supplies, equipment, and vendor services
Serve as a primary point of contact for department operational needs and cross-team communications
Assist with headcount management and personnel operations as directed
Facilitate meetings including scheduling, agenda preparation, and logistics coordination
Provide onsite support for events and office activities, including light physical tasks such as lifting up to 20 pounds
Complete special projects and ad hoc assignments as needed to support leadership and team goals
Requirements:
2–4 years of experience in an administrative or executive support role
2–4 years of experience with expense management, budget tracking, and administrative business operations
2–4 years of experience supporting executives or large cross-functional teams in a fast-paced hybrid environment
Prior experience within a large technology or engineering organization is preferred
Strong proficiency in Microsoft Office Suite including Outlook, Teams, Excel, and PowerPoint
Experience with expense management tools and budget tracking systems
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Strong interpersonal and communication skills with the ability to collaborate across functions and levels
Ability to work independently with minimal supervision in a fast-paced, hybrid environment
Flexible and adaptable with a proactive approach to problem-solving
Familiarity with administrative business operations and executive support best practices
Prior experience with Microsoft internal tools, systems, and processes is strongly preferred
Additional Details:
Location: Redmond, WA (Hybrid: 3 days/week)
Duration: 8 months
Pay Range*: $27.50 - $31 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
