Clinical Optometric Technician / Scribe

Position Summary
The Clinical Optometric Technician / Scribe plays a dual role supporting both clinical patient care and real-time documentation during exams. This position is responsible for ensuring accurate, efficient charting, supporting provider workflow, and maintaining a high-quality patient experience throughout the visit.
This role is integral to improving provider efficiency, clinical accuracy, and overall patient flow.
Core Responsibilities
Scribing & Provider Support
- Accurately document patient encounters in real time during exams
- Enter exam findings, diagnoses, treatment plans, and orders into the EHR
- Prepare charts in advance with relevant history, prior exams, and testing
- Assist providers in completing charts efficiently and accurately
- Send prescriptions (ERx) as directed by the provider
- Complete prior authorizations (PAs) for medications and treatments
- Initiate e-prescriptions (ERx) and support prior authorizations
- Ensure all documentation supports accurate coding and billing
Patient Care & Clinical Support
- Deliver a consistent, high-quality patient experience aligned with Optix standards
- Obtain medical history, chief complaint, and relevant clinical data
- Perform pre-testing and diagnostic procedures (e.g., visual acuity, OCT, visual fields, dilation as directed)
- Clearly explain testing and procedures to patients
- Assist with contact lens training (insertion/removal) as needed
Clinical Documentation & Coding
- Accurately enter CPT and ICD-10 codes for all services and products
- Ensure complete, compliant, and timely chart documentation
- Support charge posting and documentation integrity
Patient Education & Coordination
- Reinforce provider recommendations, follow-up care, and treatment plans
- Educate patients on dry eye treatments, supplements, and aesthetic services
- Assist in scheduling follow-ups, recalls, and specialty testing to optimize patient flow
Clinic Operations & Inventory
- Maintain cleanliness and sanitation of exam rooms and equipment
- Perform routine and weekly deep cleaning of clinical spaces
- Order and manage clinical supplies, including maintaining appropriate stock levels of medications and sample products
- Maintain communication with pharmaceutical representatives to ensure consistent availability of sample drops and clinical materials
- Monitor and manage clinical supplies and medication samples
- Assist with equipment maintenance and data backups as needed
Administrative & Workflow Support
- Assist with referrals, prior authorizations, and patient communication
- Complete documentation for no-shows, including certified letter preparation
- Support scanning, faxing, and data entry tasks
- Provide backup support for phones and scheduling as needed

Technical Skills & Competencies
- Proficiency with EHR and practice management systems (OfficeMate, ExamWriter preferred)
- Familiarity with optometric equipment (OCT, Optos, visual field, topography, etc.)
- Strong typing skills with high accuracy and speed
- Working knowledge of CPT and ICD-10 coding (or ability to learn quickly)
- Basic proficiency in Microsoft Office
Education & Experience
- High school diploma required; additional education preferred
- Experience in optometry, ophthalmology, or medical setting preferred
- Scribing experience strongly preferred
- Certification (paraoptometric or medical assistant) is a plus
- Willingness to train the right candidate
Work Environment & Physical Requirements
- Clinical office setting with periods of standing and sitting
- Ability to lift up to 25 pounds occasionally
- Requires visual, auditory, and verbal acuity for patient care
- Fast-paced environment with frequent interruptions and multitasking
- Flexibility to work extended hours as needed

- Complete required continuing education and training
- Adhere to all Optix policies, procedures, and clinical standards

Pay: $17.00 - $23.00 per hour
