Spa Attendant/Receptionist Job Description

What You'll Do
This role sits at the heart of our spa operations. You'll keep things running smoothly behind the scenes, provide a warm and professional first impression over the phone, and help create the kind of environment our guests come back for.
Spa Operations
- Support providers between appointments with thorough room turnarounds — fully restocked and ready within 10 minutes when needed.
- Manage laundry, restock treatment rooms throughout the day, and keep all guest areas clean, organized, and welcoming.
- Follow opening, closing, and daily checklists with consistency and attention to detail.
- Pitch in wherever needed — we're a team, and that means looking out for each other.
- Maintain a calm, clean, and professional atmosphere throughout the spa, including treatment rooms, restrooms, guest areas, and the Kiva space.
Services and Reservations
- Answer all incoming calls promptly and professionally, providing accurate information about our services, policies, and offerings.
- Manage appointment scheduling, changes, cancellations, add-ons, and special requests with accuracy and care.
- Review the daily appointment book to confirm proper room assignments, complete guest notes, and no scheduling conflicts.
- Contact guests when clarification or adjustments are needed.
- Work closely with Spa Management, Guest Services team, and providers to keep the day running seamlessly.
Inventory & Organization
- Conduct weekly counts of skincare products, oils, butters, body care items, cleaning supplies, and paper goods.
- Receive and document deliveries; keep management informed of stock levels and low inventory.
- Assist with quarterly inventory audits alongside the Spa Leadership.
Communication
- Maintain clear, proactive communication with your team throughout the day.
- Report maintenance issues, guest feedback, or operational concerns to management in a timely manner.
- Represent True Nature with a polished, professional presence — both in person and over the phone.
Professionalism & Ambiance
- You have experience in hospitality, a spa, wellness center, hotel, or similar environment is a plus.
- You're a strong communicator with excellent phone etiquette and a professional, personable demeanor.
- You're organized, detail-oriented, and capable of managing multiple priorities.
- You're self-motivated, reliable, and flexible with scheduling, including on-call availability.
- You have interest to learn about our full menu of services and offerings.
- You take pride in your environment and hold yourself to a high standard.
