Job Summary
We are seeking a dynamic and highly organized Director of Operations & Executive Assistant specializing in Commercial Real Estate to join our team. A self-directed leader to oversee daily office operations and manage a team of property managers and accounting staff. Reporting directly to the company Owner, this role blends operational leadership, hands-on accounting support, and executive-level assistance. The ideal candidate is a natural organizer and problem-solver who can keep the office running smoothly, develop and support the team, and serve as the Owner's trusted right hand on special projects and company initiatives.
Leadership & Team Oversight
- Oversee day-to-day office operations, ensuring the team is aligned, productive, and supported
- Supervise, mentor, and develop a team of property managers and accounting staff
- Set priorities, delegate assignments, and monitor workloads across the team
- Establish and improve office procedures, workflows, and internal controls
- Conduct regular check-ins and performance reviews; assist with hiring, onboarding, and training
- Serve as the escalation point for tenant, vendor, and operational issues
Accounting Support
- Assist with and provide oversight of accounting functions, including AR/AP, tenant billing, collections, and vendor payments
- Review financial reports, reconciliations, and month-end close activities prepared by accounting staff
- Support budget preparation, cash flow monitoring, and CAM reconciliations
- Ensure accuracy, timeliness, and consistency in financial records across the portfolio
- Liaise with external accountants, auditors, and banking partners as needed
Requirements
- 5+ years of experience in property management, real estate operations, office management, or a related field, including 2+ years supervising staff
- Strong working knowledge of accounting fundamentals, including AR/AP, reconciliations, and financial reporting
- Proven ability to lead, motivate, and hold a team accountable
- Exceptional organizational and time-management skills with strong follow-through
- High level of discretion, professionalism, and trustworthiness in handling confidential information
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (especially Excel); experience with property management software (e.g., Rent Manager) preferred

Pay: $80,000.00 - $110,000.00 per year
