Role Overview
Are you an undergraduate student or recent graduate looking to break into the mental health field? Our busy psychology practice is seeking a detail-oriented, empathetic Front Desk Assistant. This position offers a firsthand look at the daily operations of a private clinical practice. You will gain valuable exposure to patient coordination, healthcare administration, and confidentiality protocols. This is an ideal stepping stone for anyone preparing for graduate school in psychology, counseling, or social work. Due to the extensive training provided for this role, we require a minimum commitment of one year.
Key Responsibilities
- Client Reception: Greet clients warmly and maintain a calm, welcoming waiting room environment.
- Scheduling & EHR: Coordinate appointment calendars for multiple therapists using JaneApp.
- Phone Intake: Screen incoming calls, answer general inquiries, and direct urgent clinical matters appropriately.
- Billing Support: Process copays, verify basic insurance information, and manage daily payment logs within JaneApp.
- Data Management: File electronic records securely while maintaining strict HIPAA compliance and client privacy.

Qualifications

- Interest or curiosity in biofeedback, brain mapping, or neurofeedback modalities.
- Absolute commitment to confidentiality and discretion.
- Excellent organizational skills with the ability to multitask in a quiet office setting.
- Proficiency with standard office software; prior experience with JaneApp is a major plus but not required.
