JOB DESCRIPTION
The Office Manager/Bookkeeper for Robinson Flooring Inc. will help manage our inventory records and financial records as well as the team's records via our online payroll system. They will also be responsible for maintaining a functional workplace, ensuring repairs are made. This position will be on-site at Robinson Flooring Inc. in Middleboro, MA.
Key Responsibilities and Tasks:
Maintain Financial and Inventory Records
- Monthly reconciliation of bank accounts, credit card accounts, inventory, and order systems
- Regular in-house reporting (sales, financial statements showing performance against budget, and other Key Performance Indicators)
- Regular tax payments and reporting (local, state, federal and collaborate with accountants on annual tax filings)
- Process Accounts Payable
- Assist in Accounts Receivable
- Data entry of invoices, payments and received goods (most are automated)
- Maintain proper insurance
- Support the creation of an annual budget
- Various financial analysis projects
Manage Employee Records
- Process weekly payroll and staff reimbursements
- Process new hire paperwork and maintain secure employee files
- Onboard new employees on company policies
- Administer employee benefits
- Maintain employee handbook and onboarding manual
- Support the creation of job descriptions, salary research, and manage postings online
- Maintain the physical space including managing contractors and maintenance companies to complete regular maintenance and one-off fixes and improvements
- Manage waste services
- Track and purchase office supplies
- Support shipping and receiving of inventory
- Organize employee events including company meetings and social events including opportunities for volunteering
Ideal Experience
- 3+ years of experience as a bookkeeper in a retail or other construction-based business
- 3+ years handling employee confidential information
- Strong experience with QuickBooks Online (required)
