Role & Summary of Responsibilities

In this role, you will act as a calm, service-oriented anchor, effortlessly coordinating multiple stakeholders including physicians, executive leadership, vendors, and landlords while anticipating team needs before they are even communicated. Comfortable making independent decisions, you know exactly when to escalate an issue and are always looking for ways to improve processes. Key Responsibilities:

Develop and maintain detailed implementation timelines for assigned clinic openings.

Coordinate clinic opening activities across IT, Marketing, Inventory, Facilities, Clinical Operations, Credentialing, Finance, and other internal departments.

Track project milestones and proactively identify, communicate, and resolve potential delays.

Maintain clinic implementation documentation, project plans, checklists, and timelines.
-
Ensure all equipment, furniture, supplies, technology, signage, branding, and operational resources are delivered, installed, and ready prior to opening.

Coordinate vendor deliveries, installations, and service appointments.
-
Facilitate project meetings and communicate project status to leadership and stakeholders.
-
Coordinate closely with the Clinic Development Manager regarding construction readiness and project handoffs.

Escalate project risks with recommended solutions before they impact opening timelines.
-
Travel to clinic locations during setup week to oversee implementation activities, coordinate vendors, unpack and organize clinic equipment and supplies, verify operational readiness, and prepare the clinic for opening.

Ensure every clinic is fully operational prior to opening, including technology, equipment, furnishings, supplies, patient materials, branding, and overall patient readiness.

Support grand opening activities and transition completed clinics to Operations.

Monitor project timelines, communicate proactively regarding outstanding tasks, and ensure accountability across departments.
Help continuously improve the clinic expansion program by:

Identifying inefficiencies within implementation workflows.

Updating implementation checklists, documentation, and SOPs.

Standardizing clinic opening procedures across all locations.
-
Partnering with the Operations team to improve operational workflows.
-
Improving communication between departments.
-
Recommending process improvements that reduce clinic opening delays.
-
Participating in post-opening reviews to identify lessons learned and opportunities for continuous improvement.
Qualification Requirements

5+ years of project management, healthcare operations, clinic operations, implementation, construction coordination, or multi-site operational experience.

Exceptional organizational and project management skills.

Outstanding written and verbal communication skills.

Ability to manage numerous complex projects simultaneously.

Highly proactive, self-directed, and accountable.

Strong attention to detail.

Excellent critical thinking and problem-solving abilities.

Advanced Google Workspace proficiency.

Comfortable working with technology and coordinating system implementations with IT teams.

Ability to travel approximately 25%–35%.

Bachelor's degree or equivalent experience.

Experience opening healthcare facilities, physician practices, or ambulatory clinics.

Experience in healthcare operations.

Formal project management training or PMP certification.
-
Experience creating and improving operational processes.
-
Experience managing vendors and coordinating cross-functional teams.

Experience working in a rapidly growing healthcare organization

The pay range for this role is:
70,000 - 80,000 USD per year(Remote (United States))
