Position Overview:
The Administrative Assistant blends high-level administrative support with a student-focus approach. This position involves managing daily office operationssuch as correspondence, scheduling, record keeping, data entry, and maintaining secure, compliant filing systemswhile also coordinating meetings, and special events. Strong professionalism, confidentiality, organizational skills, and effective use of technology are essential, along with adherence to legal requirements, ethical standards, and organizational policies.
Key Responsibilities:

Provide comprehensive administrative and clerical support, including composing, proofreading, and processing correspondence; preparing reports, presentations, and documentation; and performing general office duties such as record keeping, copying, filing, mailing, and data entry.

Schedule substitute teachers prior to the start of the school day.

Serve as a first point of contact for the office; greet visitors, answer and direct phone calls professionally

Manage requisitions, orders, and office inventory.

Coordinate office operations and scheduling, including maintaining calendars, arranging meetings and appointments, handling phone calls, and supporting travel logistics for staff and students.

Maintain organized filing systems and records in compliance with retention policies, ensuring confidentiality and secure handling of sensitive and privileged information.

Assist with the organization of special events such as new student orientation, information meetings, open houses, etc.

Maintain an inquiry database and other reporting systems.

Ability to work with confidential documents.

Collaborate with administrators and staff to support departmental initiatives, identify needs, resolve problems, and keep leadership informed of relevant issues and concerns.

Demonstrate professionalism and strong interpersonal skills by building positive relationships with students, parents, staff, and the community, while promoting partnerships that enhance programs and services.

Utilize technology effectively, including Microsoft Office, Google Workspace, content management systems, and other software applications, while adapting to new tools as needed.

Comply with all legal requirements, including reporting suspected child abuse, and uphold board policies, procedures, and organizational core values.

Qualifications:

Associate Degree preferred.

Two years of experience in a related office environment is preferred.

Excellent customer service skills required.

Proficiency in operating office equipment and using modern office technology, including Google Workspace, Microsoft Office, internet browsers, and virtual meeting platforms.

Effective written and verbal communication skills, including the ability to compose professional correspondence and communicate complex information to administration.

Ability to read, analyze, and interpret financial reports, apply mathematical concepts (fractions, percentages, ratios), and use critical thinking to define problems, collect data, and draw valid conclusions.
