Position Overview
The Property Manager is responsible for the full lifecycle of property operations including leasing, tenant relations, maintenance coordination, vendor management, rent collection, and light accounting. This is an active role involving frequent communication with tenants and contractors, managing turnovers, and ensuring properties are maintained to company standards.
This position reports directly to ownership and plays a key role in maintaining asset performance, tenant satisfaction, and operational efficiency.

Key Responsibilities
Leasing & Tenant Procurement
- Market available properties across listing platforms
- Coordinate and conduct property showings
- Respond promptly to leasing inquiries
- Process rental applications, including screening and verification
- Prepare lease agreements and onboarding documentation
- Coordinate tenant move-ins and move-outs

Tenant Relations & Daily Operations
- Serve as the primary point of contact for tenants
- Handle maintenance requests, questions, and lease-related issues
- Enforce lease terms and house rules professionally and consistently
- Manage rent collection and follow up on delinquencies
- Issue notices as required (late notices, cure notices, non-renewals)
- Document tenant communications thoroughly

Maintenance, Repairs & Turnovers
- Triage maintenance requests and determine urgency
- Coordinate repairs with in-house vendors and third-party contractors
- Interface daily with plumbers, electricians, HVAC, and general contractors
- Obtain and review repair estimates
- Schedule and oversee work orders
- Inspect completed work for quality and scope compliance
- Manage unit turnovers including inspections, scopes of work, and timelines
- Ensure properties are rent-ready on schedule

Vendor & Contractor Management
- Build and maintain relationships with reliable vendors
- Schedule and coordinate vendor access to properties
- Review invoices for accuracy and scope alignment
- Approve and process vendor payments
- Monitor vendor performance, pricing, and responsiveness
- Identify cost-effective solutions without sacrificing quality

- Post rent payments and track delinquencies
- Process invoices and expense coding
- Assist with monthly financial reporting
- Track security deposits and escrow compliance
- Maintain accurate property and tenant records
- Use property management software to manage workflows and reporting

- Ensure compliance with Fair Housing laws and local regulations
- Maintain proper documentation of all tenant and vendor interactions
- Escalate legal or high-risk issues to ownership as needed
- Assist with lease enforcement and evictions when necessary

Qualifications
- Prior experience in residential property management preferred
- Strong organizational and time-management skills
- Comfortable managing multiple properties and priorities simultaneously
- Excellent written and verbal communication skills
- Experience working with vendors and contractors
- Basic accounting or bookkeeping experience a plus
- Familiarity with property management software (Buildium, AppFolio, or similar preferred)
- Ability to make sound decisions independently
- Professional, calm, and solutions-oriented demeanor
