Position Overview
We are seeking a dependable, organized, and detail-oriented File Clerk / Document Verification Specialist to join our team. This position is responsible for reviewing customer files in our management system to ensure all required contracts, applications, identification, licenses, forms, and supporting documentation have been properly completed and uploaded.
This is a deadline-driven position where accuracy, organization, follow-through, and timely reporting are essential. The ideal candidate is comfortable reviewing detailed information, identifying missing or incorrect documentation, communicating corrections, and staying on top of time-sensitive reports.
Responsibilities
- Review customer files in our management system for accuracy and completeness.
- Verify that all required contracts and signed documents have been completed and uploaded.
- Compare information on applications with the information provided by customers to producers to ensure accuracy and consistency.
- Verify that documentation supporting any discounts applied to an account has been obtained and uploaded.
- Confirm that required IDs, licenses, forms, and other supporting documents are on file.
- Identify missing, incomplete, or incorrect documentation.
- Send clear notes regarding corrections, missing information, or items requiring follow-up.
- Review completed corrections to ensure issues have been properly resolved.
- Maintain organized and accurate electronic customer files.
- Complete and submit required reports accurately and on time.
- Prioritize time-sensitive files and reports while managing daily responsibilities.
- Communicate with team members regarding outstanding documentation and necessary corrections.
- Maintain confidentiality when reviewing customer and company information.
- Be willing to stay beyond the scheduled shift when necessary to complete critical or time-sensitive reports.
Schedule
This is a part-time position averaging approximately 25 hours per week.
Applicants may choose one of the following weekday shifts:
- Morning Shift: 9:00 AM – 2:00 PM
- Afternoon Shift: 1:00 PM – 6:00 PM
- Saturday: 10:00 AM – 3:00 PM
Saturday availability is required.
Because reports and deadlines are a crucial part of this position, candidates must also have some flexibility to stay beyond their scheduled shift when necessary to complete time-sensitive work.
