We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! Duties
- Primary Responsibilities:
- Receptionist Work
- Greeting / Welcome / Provide information to visitors and others coming into the Church
- Phones
- Administration
- Administrative assistance to – in order of priority:
1. Senior Pastor
2. Other Church Staff
3. Lay Leadership
4. Others in the Church
- Make weekly deposit to the Bank
- Create weekly bulletin
- Oversee printing of bulletin and worship scripts
- Maintain Church E-mail, Open and route mail
- Memorial / Funeral Service & Reception Support
- Keep current membership records, addresses and directories (ACS, Breeze, Historical, Baptism, confirmation, marriage, death, transfers)
- Support Church Membership Process
- Support of Mountain Sky Conference admin needs:
- Prepare and publish annual Church Conference reportsPrepare and submit annual statistical reports to the Mountain Sky statistician
- Office Management
- Calendar maintenance for church events only
- Door Access Card/Fob Maintenance for congregation and church functions
- Sunday Morning Altar Flowers Process
- Operate and train others to operate all office machines, including telephone, copier, postage machine, laminator, network computers, as well as ensuring all equipment is maintained.
- Recruit, train and supervise church office volunteers
- Maintain inventory and order office and church supplies as needed.
- Continually improve and update office systems and office proceduresOther Responsibilities:
- Find a suitable replacement when absent and give staff and pastor ample notice of upcoming vacations, etc.
- Attend Staff meetings.
- Meet with the Senior Pastor for an annual review as determined by the Senior Pastor and/or the Staff Parish Committee.
- Complete a “Report of Absence from Work” form when absent from work.
- Read and follow the Personnel Guidelines provided by the Church.
- Willingness to accept all duties as assigned.
Experience
- Proven ability to manage an office.
- ● Secretarial experience.
- Ability to work without close supervision.
- Computer proficiency in Microsoft 365 App’s, ACS Membership Program, Dropbox, Google drive, MailChimp.
- Experience in recruiting, training, and supervising volunteers.
- Good communication skills.
- Commitment to confidentiality.
- Ability to appropriately prioritize workload.
- Willingness to cooperate with other members of the Church staff team.
- The position is a “ministry” and hence a sense of call or leading by God should be present.
