Job Summary
We are seeking a professional, personable, and highly organized Front Desk Coordinator to join our growing aesthetics and wellness clinic. This individual will serve as the first point of contact for patients, creating a welcoming and exceptional experience from check-in to check-out. The ideal candidate is customer-service driven, detail-oriented, and passionate about helping clients feel confident and cared for throughout their wellness and aesthetic journey.
Key Responsibilities
- Greet clients warmly and provide outstanding customer service.
- Answer incoming phone calls and emails promptly and professionally.
- Schedule, confirm, and manage client appointments.
- Assist clients with treatment information, membership programs, promotions, and service recommendations.
- Process payments, maintain accurate client records, and reconcile daily transactions.
- Verify intake forms and ensure client documentation is complete and up to date.
- Coordinate client flow to support provider efficiency and minimize wait times.
- Manage retail product sales and maintain inventory displays.
- Follow up with prospective and existing clients regarding consultations, appointments, and treatment plans.
- Prepare and ship laboratory specimens and ensure all lab documentation is completed accurately and on time.
- Perform daily clinic support tasks, including laundry, dishes, stocking supplies, and maintaining treatment room readiness.
- Support clinic marketing initiatives, events, and patient retention programs.
- Adhere to HIPAA and patient confidentiality standards at all times.
Qualifications
- High school diploma or equivalent required.
- Previous experience in a medical office, med spa, aesthetics clinic, wellness center or customer service environment preferred.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Comfortable discussing aesthetic and wellness services with clients.
- Experience with scheduling software, electronic medical records (EMR), and point-of-sale systems preferred.
- Experience handling cash transactions and balancing cash drawers/POS systems during opening and closing procedures preferred.
- Proficiency with basic computer applications.
- Professional appearance and positive attitude.
