Overview
We are seeking a dynamic and highly organized Project Coordinator to join our team! This vital role involves bidding, subcontract management, managing project timelines, coordinating communication among team members, and ensuring that all project deliverables are met efficiently. As a Project Coordinator, you will serve as the central point of contact for project activities, facilitating smooth operations and fostering collaboration across departments. Your proactive approach and excellent organizational skills will drive project success and contribute to our ongoing growth.
Duties
- Bid solicitation, bid spreading, and keeping a log of all bids
- Writing and managing subcontracts, change orders, insurance certificates, preliminary notices and lien releases
- Maintaining submittal and RFI logs
- Permit and agency submittal tracking across Santee, Chula Vista, Temecula, Caltrans, SDG&E, and all other government and similar agencies
- Manage project procurement
- Job files, meeting minutes, and maintenance of the project trackers and schedules
- Organizing physical inventory of materials
- General office administrative work – filing (physical and digital), printing, scanning, etc.
- Coordinate meetings, prepare agendas, and document minutes to keep all stakeholders informed and engaged
- Assist in developing detailed project plans, schedules, and timelines to ensure timely completion of tasks
- Monitor project progress, track milestones, and update project management tools regularly
- Communicate effectively with clients, vendors, and internal teams via phone, email, and meetings to ensure clarity and alignment
- Manage administrative tasks such as filing documents, data entry, and maintaining project records using productivity software like spreadsheets and Word processing tools
Requirements
- Required — two to five years in construction project administration or coordination; experience in submittals, RFIs, lien releases and certificates of insurance; strong document discipline; comfortable working directly with subcontractors and city staff. Driver’s license required.
- Strongly preferred — experience with municipal permit portals and agency submittals; Raken/PlanGrid or comparable construction management software; ground-up or horizontal development experience
- Useful — conversational Spanish given the field crews; exposure to senior housing, multifamily or land development
- Position terms — full time, on site in Santee, hourly and non-exempt, reporting to the VP of Construction and supporting both project management staff.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), spreadsheets, and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional communication skills, including phone etiquette and client communication abilities
- Demonstrated ability to handle confidential information with discretion and professionalism
- Strong time management skills with the capacity to prioritize tasks efficiently
- This position is hourly and non-exempt
- 40 hours minimum per week. Salary max $70,000 per year
