Job Summary
What we're looking for:
We need a seasoned Legal Administrative Assistant with 5+ years of law firm experience to serve as the right hand to our real estate attorneys in the Firm's NYC office. You should have expert-level Microsoft Word skills (especially Word styles — this is a hard requirement), strong organizational instincts, and ideally direct experience supporting real estate transactions including closings, document prep, and client coordination. Bonus points if you've worked with iManage, Chrome River, or iTimekeep.
What you'll do:
- Serve as the primary administrative support for multiple real estate attorneys, managing calendars, conflict checks, time entry, and day-to-day practice administration
- Draft, format, proofread, and edit legal documents, PowerPoint presentations, and Excel spreadsheets — including closing documents, term sheets, exhibit binders, and signature pages
- Coordinate closings, meetings, depositions, and client events including logistics, conference rooms, catering, and dial-ins
- Prepare and coordinate client bills, ensuring timely submission of time entries and invoices
- Handle travel arrangements, expense reimbursements (Chrome River), and service of process
- Track business development activities and follow-up actions for attorneys
- Monitor NY CLE compliance for the office's attorneys
- Provide general office support including greeting clients, managing supplies, and handling hand-deliveries

Pay: $70,000.00 - $100,000.00 per year
