We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Human Resources Project Manager to support the Human Resources department and executive leadership. This role is ideal for someone who excels at managing multiple priorities, improving organizational systems, and keeping projects on track from start to finish.
This position offers a flexible part-time schedule of 10–20 hours per week, with hours varying based on business needs. The ideal candidate is a self-starter who thrives in a fast-paced environment, enjoys creating structure, and has a passion for organization, process improvement, and operational excellence.
Key Responsibilities
- Provide executive-level administrative support to Human Resources leadership.
- Coordinate and manage HR projects from planning through completion.
- Develop, document, and maintain Standard Operating Procedures (SOPs) and process documentation.
- Organize and streamline business operations to improve efficiency and consistency.
- Manage calendars, schedules, meetings, and project timelines.
- Track project deliverables, deadlines, and follow-up items to ensure timely completion.
- Assist with HR initiatives, employee onboarding, training coordination, and special projects.
- Prepare reports, presentations, spreadsheets, and business documents.
- Organize electronic files, records, and documentation to maintain an efficient filing system.
- Coordinate communication between departments and external partners as needed.
- Identify opportunities for process improvements and implement organizational best practices.
- Travel to company locations as needed.
- Perform other administrative and project management duties as assigned.
Qualifications
- Minimum of 3–5 years of experience as an Executive Assistant, Project Manager, Operations Coordinator, or similar role.
- Experience supporting Human Resources or executive leadership is strongly preferred.
- Proven experience creating and implementing Standard Operating Procedures (SOPs) and business processes.
- Exceptional organizational and time management skills with strong attention to detail.
- Ability to manage multiple projects simultaneously while meeting deadlines.
- Strong written and verbal communication skills.
- Self-motivated with the ability to work independently and prioritize effectively.
- Professional demeanor with the ability to handle confidential information with discretion.
- Strong problem-solving skills and a continuous improvement mindset.
Technical Requirements
- Must provide and maintain a personal laptop suitable for business use.
- Must have a licensed version of Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
- Strong proficiency in Microsoft Office applications, especially Excel, Word, Outlook, and PowerPoint.
- Reliable high-speed internet connection for remote work.
- Comfortable learning and using HR, project management, and cloud-based software platforms.
Requirements
- Availability to work a flexible schedule of 10–20 hours per week, with hours varying based on business needs.
- Willingness to travel occasionally to company locations or meetings when required.
- Must have a valid driver's license and reliable transportation.
- Ability to maintain strict confidentiality and exercise sound judgment.
