Job Description:
The Front Office Coordinator plays a key role in supporting daily office operations and creating a professional, welcoming experience for clients, caregivers, and visitors. This position serves as the primary point of contact for incoming calls and office communication while helping maintain organization, efficiency, and strong customer service throughout the office.
The Front Office Coordinator supports scheduling, administrative tasks, documentation management, and communication between caregivers, clients, and leadership. This role requires someone who is organized, detail-oriented, and able to multitask in a fast-paced environment while maintaining professionalism and positivity.
The ideal candidate is proactive, dependable, and team-oriented, with strong communication and problem-solving skills.
Responsibilities:

Answer incoming calls and greet clients, caregivers, and visitors professionally

Maintain office organization, supplies, and daily administrative operations

Assist Scheduling Coordinator with filling open shifts and schedule updates

Support Recruiting Coordinator with applicant pre-screening and onboarding tasks

Maintain accurate caregiver and client documentation and records

Coordinate communication between caregivers, clients, and office staff

Handle client and caregiver concerns with professionalism and urgency

Support office calendars, communication flow, and operational efficiency

Participate in on-call rotation as needed

Perform general administrative and office support tasks
Qualifications:

2+ years of administrative, office, or coordination experience

Strong communication, organization, and multitasking skills

Ability to work in a fast-paced environment

Experience with Google Suite and CRM systems preferred

Healthcare or home care experience preferred

Spanish-speaking preferred but not required
Schedule: Full-time, Monday–Friday
