Position Summary
The Administrative Assistant plays a key role in supporting the daily operations of the River Hill Community Association. This position provides direct administrative support to the Village Manager and Facilities Coordinator, ensuring smooth office operations, responsive customer service and efficient facility rental processes. The Administrative Assistant manages office files and correspondence, handles mail, answers phones, greets and assists visitors, and maintains organized records of community communications.
In support of facility operations, the position responds to rental inquiries, conducts venue tours, prepares contracts and documentation for renters, processes payments and communicates weekly facility schedules to staff. The role also contributes to the success of community events by coordinating with vendors, entertainers and volunteers, and by supplying event information to the Communications Coordinator.
Position requires the ability to work occasional evening or weekend hours as needed.
The ideal candidate brings at least two years of administrative experience, advanced proficiency with office software, strong written and verbal communication skills, and the ability to stay organized and prioritize effectively in a busy, community‑focused environment.
Responsibilities
Administrative support
- Provides administrative support and assistance to the Village Manager
- Maintains office files, composes correspondence, handles incoming and outgoing mail
- Maintains files for community correspondence
- Answers phones, greets visitors and assists visitors as necessary
Facilities support
- Provides administrative support to the Facilities Coordinator
- Responds to inquiries regarding facility rentals and follow ups on leads
- Provides tours of the venue
- Provides renters with contracts, floor plans and other documentation
- Processes rental payments
- Communicates weekly facility schedule with staff
Event support
- Supports special events for the community (i.e. Flea Market, Independence Day Parade, National Night Out/Pool Party, Halloween event)
- Coordinates with vendors, entertainers and volunteers for events
- Provides information to Communications Coordinator to promote events
Qualifications
- 2+ years of administrative assistance experience
- Advanced proficiency with word processing, spreadsheet and email apps/programs
- Strong written and verbal communication skills
- Excellent organizational skills and ability to prioritize effectively
- Exceptional interpersonal and customer service skills
