Takken’s Shoes is a locally owned and operated retail business that has been
serving the Central Coast for 89 years. We are looking for an inspired individual
and qualified individual to manage our back-office and basic accounting functions
at our corporate office in Paso Robles. This position encompasses a diverse set of
administrative, basic accounting, and basic human resource duties essential to
operating a small business. In many ways this position is the “glue” that keeps the
front end of the business focused and on track and is perfect for an individual who
wants to engage meaningfully at all levels of the business. The following list of
duties is provided to illustrate some of the key responsibilities of the position.
KEY AREAS OF RESPONSIBILITY:
This position encompasses duties in general office administration,
accounting, human resource management, and customer service. Below is a list of
typical duties of this position.
- BASIC ORGANIZATION: Maintaining an efficient physical and digital filing
systems for records in accounting, payroll, employee, and accounts
receivable; general back-office organization/upkeep; answering and
returning incoming phone calls, taking messages; email correspondence to
our retail stores, vendors, accounts receivable customers, online customers;
store and office supply orders; general clerical duties.
- TYPICAL RECURRING DAILY DUTIES: Update company banking;
communication/follow up with retail stores, paperwork uploads; updating
cash planning workbooks; recording transactions in Quickbooks; processing
customer refunds; downloading online orders and starting the fulfillment
process; correspondence with online customers; processing online sales and
returns through the point of sale.
- ACCOUNTS PAYABLE MANAGEMENT: Inputting bills into Quickbooks;
reconciling supplier payables; correspondence and communication with
suppliers; reconciling incoming orders with billing; managing inventory
returns for credit.
- ACCOUNTS RECEIVABLE MANAGEMENT: Inputting charge sales into
Quickbooks; preparing billing for charge account customers;
correspondence and follow up with corporate customers; creating vouchers
as needed; processing payments received; accounts receivable aging review
and follow up.
- MONTH END ACCOUNTING: Record various month-end general journal
entries in Quickbooks; create and upload monthly reporting to CPA;
correspondence with CPA; Reconcile bank and credit card accounts;
Reconcile basic ledger accounts;
- PAYROLL: Monitor time clock and scheduled hours; collect payroll
information; prepare company bi-monthly payroll in Quickbooks.
- EMPLOYEES. Maintain Employee files; assist with collecting and completing
employee files during the on boarding process; correspond with 3 rd party HR
company to ensure all postings are in compliance; track sick and vacation
time.
- SETTING THE TONE: Setting a standard of excellence and creating office
structural elements that will extend to the retail stores while providing
organizational support to the retail locations.
REQUIRED PROFESSIONAL SKILLS.
The individual best suited to this position will have the following
professional skills and/or experience:
- Having a Bachelor’s degree in accounting is ideal, but not required as long
as the individual has at least 3 years comparable work experience.
- Minimum 2 years experience working with both accounts receivable and accounts payable.
- Minimum of intermediate level skills with Quickbooks, Excel, Word, outlook,
- Microsoft 365 (or similar); comfortable with computers; cloud-based systems.
- Knowledge of accounting, data, and administrative. management practices and procedures.
- Knowledge of clerical practices and procedures.
- Familiarity of human resources management practices and procedures.
- Knowledge of business and management principles.
