Job Summary:
We are looking for a detail-oriented Orders & Face-to-Face (F2F) Coordinator to manage physician order tracking and F2F encounter compliance for our home health agency. This is a critical role that directly supports our ability to deliver care and bill compliantly under Medicare. Responsibilities:
Track, follow up on, and file physician orders for start of care, recertification, and verbal order corrections
Contact physician offices to obtain timely signatures and resolve outstanding orders
Generate and manage face-to-face encounter forms; ensure documentation is complete and within Medicare timeframes
Review F2F documentation for compliance deficiencies before billing submission
Maintain accurate tracking logs and provide regular aging reports to clinical leadership
Scan and upload all signed orders and F2F documents into the EMR (Kinnser/WellSky)
Serve as the go-to liaison between the agency, physicians, clinical staff, and billing
Support audit readiness and ensure documentation aligns with Medicare CoPs and AHCA requirements
Qualifications:
1+ years of experience in home health, hospice, or healthcare administration
Knowledge of Medicare home health regulations — especially physician order and F2F requirements
Experience with Kinnser (WellSky) or similar home health EMR strongly preferred
Highly organized with the ability to manage a high volume of items and competing deadlines
Strong communicator — professional, persistent, and personable with physician offices
Proficient in Microsoft Office (Word, Excel, Outlook)
High school diploma required; healthcare admin degree or equivalent experience a plus
