Job Summary: The Personal Accountant (Executive) is responsible for providing confidential, accurate, and timely accounting and financial administrative support to a designated executive. This position manages day-to-day personal financial transactions, account reconciliations, expense tracking, bill payments, financial records, and reporting while coordinating with banks, tax professionals, financial advisors, vendors, and other authorized external parties.
The ideal candidate is a highly organized and detail-oriented accounting professional who demonstrates sound judgment, discretion, integrity, and a strong understanding of accounting principles and financial controls. This role requires the ability to independently manage multiple priorities, safeguard highly sensitive financial information, anticipate upcoming financial obligations, and provide clear and reliable financial information to support executive decision-making.
Essential Functions
- Maintain complete, accurate, and confidential records of the executive's personal financial transactions, accounts, expenses, assets, and liabilities.
- Manage and track personal bank accounts, credit cards, recurring expenses, reimbursements, loans, mortgages, insurance payments, property-related expenses, subscriptions, and other financial obligations.
- Perform monthly bank, credit card, and other account reconciliations and promptly research and resolve discrepancies.
- Review invoices, statements, receipts, and supporting documentation for accuracy and completeness prior to processing payments.
- Coordinate and execute authorized bill payments and other financial transactions in accordance with established approval procedures and internal controls.
- Maintain accurate accounting records and appropriately categorize transactions within the applicable accounting or financial management system.
- Prepare monthly, quarterly, and ad hoc financial summaries, including income and expense reports, cash-flow summaries, account balances, and budget-to-actual analyses.
- Assist with developing and maintaining annual personal and household budgets and monitor spending against established targets.
- Maintain a schedule of recurring and anticipated financial obligations to ensure timely payments and avoid penalties or interruptions in service.
- Organize financial records and supporting documentation required for individual tax filings and coordinate information requests with external tax professionals and advisors.
- Maintain accounting records associated with personal assets, which may include real estate, vehicles, investments, trusts, or other privately held assets, as applicable.
- Assist with tracking capital expenditures, major purchases, asset-related expenses, insurance renewals, and other significant financial commitments.
- Liaise with banks, financial institutions, accountants, tax advisors, insurance providers, investment professionals, attorneys, vendors, and other authorized parties on behalf of the executive.
- Monitor accounts and transactions for unusual activity, duplicate charges, discrepancies, or other issues and escalate concerns promptly.
- Maintain organized electronic and physical financial records in accordance with applicable retention and confidentiality requirements.
- Assist with financial analysis and special projects as requested by the executive or Finance leadership.
- Partner appropriately with Corporate Finance while maintaining clear separation between personal and company transactions, records, and expenses.
- Perform work independently with an appropriate degree of judgment and latitude while escalating material or unusual financial matters.
- Handle all personal, financial, and executive information with the highest level of confidentiality and discretion.

Required Knowledge, Skills, Abilities
- Strong working knowledge of generally accepted accounting principles and standard accounting practices.
- Demonstrated experience with account reconciliations, general ledger activities, accounts payable, expense management, budgeting, and financial reporting.
- Strong proficiency in Microsoft Excel, including the ability to organize, reconcile, analyze, and present financial data.
- Proficiency with accounting and financial management software; experience with QuickBooks, SAP, or comparable systems preferred.
- Ability to maintain accurate financial records across multiple accounts and financial institutions.
- Strong analytical and problem-solving skills with exceptional attention to detail.
- Ability to identify discrepancies, investigate financial transactions, and recommend appropriate corrective action.
- Strong organizational and time-management skills with the ability to manage multiple priorities and recurring deadlines.
- Ability to work independently, exercise sound judgment, and appropriately prioritize urgent or sensitive matters.
- Strong written and verbal communication skills with the ability to communicate effectively with executives and external financial professionals.
- Demonstrated professionalism when interacting with banks, advisors, vendors, service providers, and other stakeholders.
- Ability to anticipate upcoming financial requirements and proactively communicate deadlines, obligations, and potential issues.
- High degree of integrity, reliability, confidentiality, and discretion when handling sensitive personal and financial information.
- Ability to operate effectively in a fast-paced, global environment and adapt to changing priorities.
Strong commitment to maintaining appropriate internal controls, documentation, and separation between personal and corporate financial activities.

Required Education, Certifications/ Licenses, Related Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required.
- 4 to 6 years of progressively responsible accounting, finance, bookkeeping, or financial management experience required.
- Prior experience providing accounting or financial support directly to a senior executive, business owner, high-net-worth individual, family office, or similar confidential environment strongly preferred.
- Experience with personal financial accounting, expense management, tax-document preparation, or multi-account reconciliation preferred.
- CPA, CMA, or other relevant professional accounting certification is preferred but not required.
Equivalent combinations of education and directly related professional experience may be considered.

- Occasional domestic and/or international travel may be required based on executive or business needs.
Anticipated travel, if any, is generally expected to be less than 10% of the time.
