We have an immediate opening for an experienced Document Support Specialist. This fully remote position provides advanced document support, document technology, and workflow support to attorneys, paralegals, legal secretaries, and administrative professionals across litigation and transactional practice groups. Regular work hours are 7:30 a.m. to 4:00 p.m. Pacific Time.
The ideal candidate is highly skilled in Microsoft Word and related document technologies, detail-oriented, customer-service focused, technically proficient, and able to manage multiple competing deadlines in a fast-paced law firm environment. The role extends beyond traditional word processing and includes document formatting, document comparison and quality control, electronic signature workflows, document conversion, litigation support, and troubleshooting complex formatting and document technology issues.
The hourly range for the position of Document Support Specialist at Nossaman is approximately $41.03 to $51.28 an hour. The annual compensation for this position is reasonably expected to be set between $80,000 and $100,000, depending on qualifications, experience, and other relevant factors.
Key Responsibilities
- Prepare, revise, proofread, and format complex legal and business documents in accordance with firm standards and attorney specifications
- Create and troubleshoot styles, templates, numbering schemes, cross-references, headers, footers, and other advanced Microsoft Word features
- Format and finalize pleadings, motions, discovery documents, agreements, contracts, correspondence, memoranda, reports, and presentation materials
- Generate document comparisons and redlines and assist with version management and document reconciliation
- Provide litigation support, including preparation of pleadings, discovery templates, Tables of Contents, Tables of Authorities, exhibits, and appendices
- Manage DocuSign transactions and electronic signature workflows
- Convert, edit, organize, and maintain documents and PDFs while preserving formatting integrity
- Troubleshoot document formatting, software, and document management system issues and provide technical support to attorneys and staff
- Deliver responsive, high-quality customer service while supporting multiple offices and practice groups
Assist with special projects and other assignments as needed

Experience & Qualifications
- Associate's degree, technical certification, equivalent experience, or a combination of education and experience preferred
- Five or more years of experience in legal word processing, document support, legal document services, or a comparable professional services environment
- Advanced proficiency in Microsoft Word, including styles, templates, multilevel numbering, cross-references, and large-document management
- Experience with pleading formatting, document comparisons, redlining, Tables of Contents, and Tables of Authorities
- Experience with electronic signature platforms, including DocuSign
- Strong knowledge of PDF software and document conversion tools
- Experience with legal technology applications such as Litera, Best Authority, DocXtools, iManage, and Microsoft 365
- Excellent proofreading, grammar, organizational, and customer-service skills
- Ability to manage multiple priorities in a deadline-driven environment while maintaining professionalism and responsiveness
- Flexibility to work overtime as needed
