Job Title: Receptionist / Intake Coordinator
Supervisor: Director Of Financial Assistance
Classification: Full-Time, Non-Exempt
Summary: The Receptionist / Intake Coordinator is the first point of contact for clients, visitors, and callers. This role manages front desk operations, supports intake, and provides administrative support to ensure efficient daily office operations. The position requires strong organizational skills, attention to detail, and the ability to manage a high-volume, fast-paced environment while maintaining professionalism and confidentiality.
Responsibilities
Greet, check in, and direct clients and visitors in a professional and welcoming manner
Answer, screen, and route incoming calls; manage voicemail and shared inboxes
Conduct basic intake screenings and provide program information and referrals
Enter and maintain accurate client data in Electronic Health Records (EHR)
Assist staff with documentation (scanning, uploading financial assistance application)
Perform general administrative duties (filing, copying, faxing, mailing, data entry)
Maintain front desk organization and waiting area
Monitor office supplies and support daily office operations
Qualifications
High school diploma required; associate or bachelor’s degree preferred, or equivalent experience
2+ years of receptionist, administrative, or customer service experience preferred
Experience in social services, healthcare, or behavioral health a plus
Skills
Strong communication and customer service skills
Excellent organizational and multitasking abilities
Attention to detail and ability to handle confidential information
Ability to work efficiently under pressure
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with EHR systems and basic data entry
Familiarity with Adobe Acrobat preferred
Work Environment
On-site office role with frequent computer and phone use
Monday–Thursday 8:00 AM–5:00 PM; Friday 8:00 AM–4:00 PM
