Job Title: Regional Account Coordinator (RAC) Department: Sales/ Operations
Reports To: Regional Sales Leadership / Sales Management
Position Summary
The Regional Account Coordinator (RAC) provides comprehensive sales coordination, project management, and customer account support within an assigned territory. This role functions as the primary liaison between customers, regional representatives, and interna! departments to ensure accurate quoting, arder processing, project execution, and post-sale service. The RAC plays a critica! role in driving customer satisfaction, operational efficiency, and sales growth.
Essential Job Functions
Sales & Account Coordination
- Support direct sales activities by managing ali administrative processes from quote
generation through arder fulfillment and post-sale support.
- Open, maintain, and track quotes and sales orders, ensuring accuracy and compliance with customer purchase orders.
- Provide pricing estimates for standard and previously sold products.
- Assist in achieving territory sales goals through proactive account support, planning, and forecasting.
- Prospect and support development of new accounts, allocating approximately 10-20% of work time.
- Participate in or lead client conference calls as required.
Reporting & Data Management
- Manage and maintain quoted project data, account records, and customer information.
- Generate, distribute, and maintain weekly sales representative reports.
- Prepare open arder, backorder, and project status reports.
- Maintain customer lists and territory data to support business planning and analytics.
Order & Project Management
- Set up and manage job files for all assigned projects.
- Track project milestones, including approval of drawings, documentation, samples, deposits, and release requirements.
- Conduct release meetings for every arder, including cross-referencing slow-moving inventory.
- Track arder progress, installation dates, and timelines through successful project completion.
- Send order acknowledgments and confirmations to customers.
Customer, Warranty & Service Support
- Serve as the centralized point of contact far customers and regional representatives.
- Process and manage warranty and service requests using case management systems.
- Verify completion and accuracy of service work.
- Communicate with customers at all organizational leveIs to ensure expectations are met, and issues are resolved efficiently.
Cross-Functional Collaboration
- Act as the team lead on assigned accounts, coordinating with interna! departments such as operations, service, finance, and logistics.
- Verify arder details against customer purchase orders to ensure accuracy and compliance.
- Serve as a liaison far interna! departments to support seamless execution of sales, service, and project activities.
Additional Responsibilities
- Conduct site visits, attend trade shows, and participate in client meetings as required.
- Develop and maintain working knowledge of product catalogs and offerings.
- Perfarm other related duties as assigned to support organizational objectives.

Preferred Qualifications
- Previous experience in sales coordination, account management, or project coordination.
- Experience supporting field sales representatives or regional accounts.
- Familiarity with CRM, ERP, or arder management systems.
Physical & Work Environment Requirements
- Ability to sit far extended periods while working at a computer.
- Ability to communicate effectively vía phone, email, and virtual meetings.
- Occasional travel may be required.
