The Legal Operations Coordinator provides operational, administrative, and project support to the Legal Department, serving as a key resource for legal corporate governance, compliance, and legal technology processes. This role maintains corporate records for domestic and international entities, manages certain legal department technology platforms and reporting, coordinates annual filings and corporate governance activities, and assists with contracts, intellectual property, franchise, and licensing. The Coordinator partners with attorneys and business stakeholders to maintain accurate legal records, improve processes, develop useful metrics and reporting, and support initiatives that enhance the department’s efficiency and effectiveness.
This role is based in our Tampa Restaurant Support Center and follows a hybrid schedule with three days/week onsite.
ESSENTIAL DUTIES

Maintain legal department systems, databases, and records, including entity management, intellectual property, and other legal operations platforms; ensure information is accurate, current, and properly organized.

Manage corporate governance and entity administration activities for domestic and international entities, including maintenance of corporate books and records, annual reports and business filings, officer and director changes, written consents, and organizational documents.
- Support international legal operations by preparing and coordinating franchise documentation, maintaining international corporate records and organizational charts, and providing attorney assistance.
- Support intellectual property enforcement processes by researching potential infringements, documenting findings, assisting attorneys with drafting cease-and-desist letters, maintaining accurate enforcement records and database updates, and tracking matters through resolution.

Coordinate legal department document management and recordkeeping processes, including contracts, corporate records, intellectual property files, governance documents, correspondence, and other legal documentation.

Support attorney and business stakeholders with document preparation, organization, execution, information requests, special projects, and departmental initiatives.

Prepare, maintain, and distribute recurring and ad hoc reports that support legal department operations.
- Manage administrative processes, including invoice administration, mail distribution, document retention, notarizations, apostilles, courier services, signature collection, and other activities necessary to support the department.
REQUIREMENTS
Education:
Experience/Skills:
- 1 to 3 years of experience with legal project operations and management in-house or at a law firm (both preferred).

Prior experience developing and improving processes, policies and efficiencies.

Ability to independently move projects forward by gaining the support needed from others while working in a cross-functional role.

Collaboration with groups (e.g., accounting, finance, operations, HR, IT) to exchange information and produce meaningful results.

Experience in utilizing legal department technology solutions (e.g., GEMS, DocuSign CLM & e-signature, SharePoint).

Strong analytical, problem-solving, organizational, and communication skills, with excellent attention to detail and the ability to manage multiple priorities, learn quickly, and take ownership of unfamiliar projects.

Able to thrive in a fast-paced environment and successfully manage multiple deadlines.

Advanced proficiency in Microsoft Office: Word, SharePoint, Excel, Outlook, PowerPoint, OneDrive, Teams.
