Office Administrator – Pool Construction Company
Pools by Wyatt is seeking a highly organized and motivated Office Administrator to join our growing team in Naples, FL.
This position plays a key role in keeping our projects moving efficiently from permitting through construction and final completion.
Responsibilities:
- Prepare, submit, and track permit applications
- Coordinate and collect required permitting documents
- Follow up with county, city, HOA, and engineering departments
- Schedule inspections and track inspection results
- Provide customers with regular email updates on project progress
- Maintain project files and construction documentation
- Coordinate schedules with field crews, subcontractors, and suppliers
- Order materials and assist with vendor communications
- Answer phones, emails, and customer inquiries
- Assist with invoicing, contracts, and general office administration
- Track project timelines and ensure deadlines are met
Qualifications:
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficient with Microsoft Office, Google Workspace, and email correspondence
- Construction, permitting, or pool industry experience preferred but not required
- Ability to work independently and stay detail-oriented in a fast-paced environment
