Role Purpose: Own the administrative experience from onboarding through successful service start. This position serves as a consistent point of administrative support for new caregivers and clients and helps prevent onboarding, communication, system, and EVV issues from falling through the cracks.
Core Responsibilities
- Coordinate caregiver onboarding from initial administrative handoff through readiness for assignment.
- Send welcome letters, onboarding instructions, case confirmations, and other standardized communications.
- Schedule and track required onboarding training and orientation activities.
- Maintain accurate caregiver and client demographic information in HHAeXchange and designated systems.
- Provide routine education and assistance regarding clock-in/clock-out and EVV procedures.
- Receive routine caregiver administrative questions, resolve issues within role authority, and escalate higher-risk or unresolved concerns.
- Coordinate new-client administrative setup after intake/eligibility approval.
- Confirm that required administrative steps are completed before a caregiver begins a case.
- Conduct initial follow-up after a caregiver/client service starts and document unresolved concerns.
- Maintain onboarding and case-start trackers with current statuses, next actions, and barriers.
- Coordinate a clear handoff of completed onboarding records to the Compliance Administrative Assistant.
- Support standardized caregiver and client communications as directed.
- Assist with front-office/reception coverage and general administrative support when needed.
Pay: $40,000.00 - $50,000.00 per year
