Position Overview
Kirch Property Management & Sales is seeking a dependable, organized, and detail-oriented Office Manager & Property Quality Control Specialist to oversee daily operations at a 160-unit residential community in Mahomet, Illinois.
This unique hybrid position combines office administration, tenant relations, property inspections, and hands-on cleaning responsibilities. The ideal candidate is someone who enjoys both administrative work and being actively involved in maintaining a high-quality living environment for residents. This individual will serve as the primary on-site representative of the company and play a critical role in ensuring the property remains clean, professional, and move-in ready at all times.
Primary ResponsibilitiesOffice Administration & Resident Relations
- Serve as the primary on-site contact for current and prospective residents.
- Answer phones, emails, and resident inquiries in a professional and timely manner.
- Assist with leasing administration, applications, lease documents, notices, and resident communications.
- Coordinate maintenance requests and follow up to ensure timely completion.
- Maintain organized tenant, vendor, and property records.
- Assist with scheduling property showings and move-in/move-out procedures.
- Familiarity with property management software, leasing platforms, work order management, and resident communications is a plus.
Unit Quality Control & Inspections
- Conduct final inspections of renovated and turnover units before occupancy.
- Verify that all repairs, cleaning, and contractor work meet company standards.
- Create and manage punch lists for incomplete or deficient work.
- Communicate deficiencies to maintenance staff and vendors and ensure corrections are completed.
- Approve units as "Rent Ready" prior to resident move-in.
Property Appearance & Common Area Maintenance
- Perform routine cleaning of common areas, including:
- Hallways
- Entryways
- Laundry facilities
- Community rooms
- Stairwells
- Other shared spaces
- Ensure common areas remain clean, safe, and welcoming.
- Monitor the property for cleanliness, safety concerns, and curb appeal issues.
- Maintain inventory of cleaning supplies and office materials.
- Report maintenance concerns and property issues promptly.
Qualifications
- Previous experience in property management, office administration, hospitality, or customer service preferred.
- Strong organizational and communication skills.
- Exceptional attention to detail and ability to identify workmanship deficiencies.
- Ability to work independently and prioritize multiple tasks.
- Comfortable using computers, email, and basic office software.
- Must be willing and physically able to perform routine cleaning, inspections, walking, bending, lifting, and stair climbing throughout a 160-unit community.
Compensation & Schedule
Pay: Based on experience
Schedule Options:
- Full-Time: Monday – Friday, 9:00 AM – 6:00 PM
