Maintenance Coordinator
About Us
We are a property management company managing over 600 residential properties throughout the Oklahoma City metro area. Our office is located on the north side of Oklahoma City near NW 63rd and May.
We are seeking an organized, proactive, and customer-focused Maintenance Coordinator to oversee the maintenance process from start to finish. This position serves as the primary point of contact between residents, property owners, and vendors, ensuring maintenance requests are handled efficiently and completed with a high level of customer service.
Responsibilities
- Receive, review, and coordinate incoming maintenance requests.
- Dispatch and schedule vendors while ensuring timely completion of work orders.
- Communicate with residents, property owners, and vendors throughout the repair process.
- Monitor vendor performance and follow up on outstanding or overdue work orders.
- Review completed work orders for accuracy and completeness before closing.
- Coordinate estimates, approvals, and scheduling for maintenance projects.
- Track maintenance timelines and ensure service level expectations are met.
- Maintain detailed records, notes, invoices, and supporting documentation within property management software.
- Conduct regular follow-up with residents to verify repairs have been completed satisfactorily.
- Assist with move-in and move-out maintenance coordination.
- Coordinate property inspections and ensure maintenance issues identified during inspections are addressed.
- Create weekly maintenance status reports and provide updates to management.
- Participate in owner and team meetings.
- Assist with process improvements that increase efficiency and enhance the resident experience.

Education, Experience, and Licensing Requirements
- High school diploma, GED, or equivalent.
- Reliable transportation.
- 2–3 years of maintenance coordination, dispatching, property management, or related customer service experience preferred.
- Experience with property management software such as AppFolio, Property Meld, Tenant Turner, or similar platforms preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Oklahoma Real Estate License is not required but is a plus.
