Responsibilities
- Greet visitors and clients warmly, managing front desk operations with professionalism and friendliness
- Handle multi-line phone systems, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
- Perform data entry tasks with high accuracy, maintaining organized records and filing systems
- Assist with office management duties such as supply inventory, document proofreading, and filing
- Provide customer support via phone, email, or in person, addressing inquiries promptly and effectively
- Support administrative functions including bookkeeping, calendar management, and basic office troubleshooting
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer literacy with excellent typing speed and data entry accuracy
- Experience with QuickBooks
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs (not necessary)
- Previous office or clerical experience
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Technical proficiency in office management tools and productivity software
- Strong attention to detail for proofreading, filing, and document management
- Effective time management skills to handle multiple responsibilities seamlessly
- Customer service experience demonstrating patience, professionalism, and problem-solving abilities
- Personal assistant or receptionist experience is advantageous for understanding specialized workflows
